Job Description - Receptionist

POSITION SUMMARY


The Part-Time Receptionist serves as the front-facing representative of the City, providing exceptional customer service to residents and visitors. This position supports administrative operations by greeting and directing the public, answering phones, processing payments and licensing, and providing general information. The position is scheduled Monday through Thursday, from 2:00 p.m. to 6:00 p.m., and works under the direct supervision of the City Manager.


 


ESSENTIAL RESPONSIBILITIES AND DUTIES


 



  • Serve as the first point of contact for the public by greeting visitors and responding to general inquiries in person, by phone, and via email.

  • Receive and process payments for:
    - Utility bills
     - Dog licensing (verify rabies vaccinations)
     - Departmental revenues (e.g., building permits, deposits)
     - Parking violations

  • Assists residents with utility account connections, disconnects, and shut offs.

  • Assists residents with requests related to garbage, recycling, and green waste cans, including initiating new service, coordinating replacements for damaged containers, and providing general information regarding waste collection services.

  • Maintain accurate records and logs of payments and transactions.

  • Provide clerical support to administrative staff, including data entry, filing, and document preparation.

  • Assist with business license renewals.

  • Maintain a clean, organized, and professional front office environment.

  • Perform other duties as assigned to support daily operations.


 


MINIMUM QUALIFICATIONS



EDUCATION, EXPERIENCE AND CERTIFICATIONS



  • High school diploma or GED equivalent required.

  • One (1) year of relevant clerical, customer service, or receptionist experience, or any equivalent combination of education and experience.


 


KNOWLEDGE, SKILLS AND ABILITIES


Knowledge of:



  • Front desk and telephone etiquette.

  • Basic municipal operations and services.

  • Cash handling and payment processing.

  • Basic accounting principles preferred.


Skill in:



  • Word processing, data entry, and general office procedures.

  • Use of Microsoft Office Suite (Word, Outlook, Excel).

  • Operating office machines (phones, scanners, printers, etc.).

  • Effective interpersonal communication and customer service.


Ability to:



  • Maintain confidentiality and professionalism.

  • Communicate clearly both verbally and in writing.

  • Prioritize tasks, work independently, and meet deadlines.

  • Establish and maintain effective working relationships with staff and the public.

  • Demonstrate regular, punctual attendance and availability for assigned shifts.


 


PHYSICAL DEMANDS/WORK ENVIRONMENT



Work is performed primarily in an office environment.
Frequent sitting, talking, hearing, and use of hands.
Occasionally required to lift or move up to 25 pounds.
Vision requirements include close vision and the ability to adjust focus.
Noise level is typically quiet to moderate.
