Job Description - Receptionist

JOB TITLE:                  Front Desk Receptionist



POSITI0N SUMMARY:    Under the direction of the Operations Manager and supervision of the Executive Director, the Front Desk Receptionist is the pleasant voice and welcoming face at the front entrance to our business.



ESSENTIAL JOB FUNCTIONS:




  1. Warmly welcomes all who enter Hospice of Redmond with courtesy and respect, providing guidance and direction.

  2. Oversees the fast paced front desk as the office receptionist: answers multi-line phones; screens calls and provides information appropriately. Initiates call transfers as necessary (internal and cell phone) to appropriate team members.

  3. Assures accurate transfer and release of phone lines to answering service daily. Notifies the office manager or executive director immediately of any issues or discrepancies.

  4. Opens and secures the facility upon closing daily.

  5. Serves as point of contact for all maintenance issues/requests related to the building and grounds and works directly with contractors.

  6. Maintains and monitors team sign-out board; creates company calendars and keeps appropriate logs.

  7. Retrieves, reviews, and distributes office mail per protocol.

  8. Receives donated funds, issues receipts, creates and mails “thank you” letters to donors.

  9. Utilizes QuickBooks to pay vendors in a timely and accurate manner. Maintains vendor files and assures accuracy of invoices before payment of bills.  Handles disputes directly with vendors as appropriate.

  10. Maintains and orders supplies for office and equipment as necessary to conduct business cost-effectively.

  11. Plans and executes set up of various meetings, conferences, seminars, etc. Includes mailouts, meal ordering, and travel arrangements as needed.

  12. Creates minutes for staff meetings and maintains hard copy for reference.

  13. Creates admission charts in electronic medical records system and updates those charts, including scanning, distributing, and maintaining patient information.

  14. Maintains patient/family confidentiality, including obtaining and filing vendor confidentiality agreements.

  15. Maintains standards set by policies and procedures, and regulations set by hospice, State, and Federal governing bodies.

  16. And other duties as assigned by the office manager or executive director in line with the reception role.



MARGINAL FUNCTIONS:




  1. Supports organizational events as a member of the hospice team.

  2. Maintains personal training and education following company directives.




    OSHA CATEGORY:



    Category III: Tasks that involve no exposure to blood, body fluids, or tissues.



    QUALIFICATIONS:




    1. Multiline phone system experience, strong communication skills, and receptionist experience.

    2. Ability to assess and respond to the needs of walk-ins, visitors, patients, and their families on the phone or office setting.

    3. Computer knowledge (Office365, including Word, Excel, and Outlook.)

    4. Basic QuickBooks knowledge including receipting and accounting familiarity.

    5. Ability to work as a team member, and manage multiple priorities.

    6. Demonstrates self-management skills related to personal loss issues to enable oneself to be an effective participant in the Hospice setting.

    7. Reliable automobile and liability insurance; and have a current Oregon driver’s license.
