Job Description - Receptionist - Part Time (General Office)

Description

As Front Office Receptionist, you will be the first point of contact for our organization. You will be responsible for welcoming visitors and directing them appropriately, answering, screening, and forwarding phone calls, and executing assigned administrative tasks.

This position is not eligible to participate in our work from home program; it requires that you work in the office M-F from 12:30 PM - 5:00 PM. The dress code is business casual.

Key Accountabilities:

  • Welcomes on-site visitors in a warm and friendly manner, determines the nature of business, and announces visitors to appropriate personnel.
  • Answers incoming telephone calls, determines the purpose, and forwards the calls to appropriate personnel.
  • Answers questions about the organization and provides callers with addresses, directions, and other information.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Directs deliveries to the appropriate locations.
  • Assist with sorting the daily mail and provide backup support for metering the mail.
  • Accepts payments from customers and notifies credit so orders can be released.
  • Utilizes Envoy system to pre-print guest badges for large customer events.
  • Manages special administrative projects and overflow work from other departments.
  • Must always maintain a professional appearance.
  • Ensure reception and lobby areas are always clean and tidy.
  • Provide backup coverage for the morning Front Office Receptionist as needed.
  • Ensures backup personnel are trained in all operating procedures.

Requirements

Knowledge/Skills/Abilities:

  • Maintain confidentiality and customer relationships
  • Ability to be resourceful and proactive when issues arise.
  • Carries out assignments with little supervision.
  • Excellent verbal and written communication skills
  • Works cooperatively with all levels of the organization.
  • Well organized; detail oriented.
  • Multi-tasking and stress management skills are essential for this position.

Education/Experience/Training:

  • Proven work experience as a receptionist, front office representative, or similar role.
  • High School Diploma or general education degree (GED)
  • Proficient in Microsoft Office
