What You’ll Do
- Act as a true execution and coordination assistant to the founder, owning tasks end-to-end
- Manage scheduling, logistics, coordination, and planning across multiple priorities
- Handle ad hoc research across business, technology, tax incentives, grants,travel planning, and
- tools
- Independently plan and coordinate complex travel and logistics, balancing sleep, working hours,
- jet lag, and efficiency
- Source and coordinate vendors or specialists (e.g. video editors, designers) when work exceeds
- scope
- Research government grants, tax incentives, and funding opportunities and summarize findings

- Evaluate apps, tools, or platforms and provide concise, written recommendations
- Download, test, and compare software or mobile apps, reporting insights clearly
- Distill large volumes of information into clear takeaways and next steps
- Perform light video editing (e.g. pulling key moments from longer recordings)
- Create rough video cuts or content drafts for review
- Coordinate with external freelancers when higher-quality production is needed
- Produce clear, structured written outputs (summaries, drafts, comparisons, notes)
- Communicate proactively and clearly in writing
- Flag risks, blockers, or dependencies early—always with proposed solutions
- Continuously look for ways to improve efficiency, coordination, and execution

- Tasks and coordination are handled thoroughly—details don’t fall through the cracks
- Problems are solved independently or escalated early with clear options

Required Traits & Capabilities
- Naturally detail-oriented and conscientious—you care deeply about doing things well
- Highly self-sufficient, proactive, and comfortable taking ownership
- Strong initiative; you don’t rely on step-by-step instructions to make progress
- Constantly looking for more efficient, scalable ways to work
- Excellent written English (this is a writing-heavy role)
- Comfortable operating without SOPs or predefined processes
- Calm, positive, and low-drama approach to work
- Willing to ask clarifying questions early rather than getting stuck
Nice to Have (Not Required)
- Experience supporting founders or early-stage startups
- Experience coordinating schedules, vendors, or logistics
- Familiarity with basic video editing tools or content workflows
- Experience coordinating freelancers or external partners
- Ownership of an iPhone (helpful for app testing, not a dealbreaker)
- Comfort working asynchronously with minimal meetings
Work Setup & Expectations
- Start part-time (20 hours/week), with intent to scale to full-time
- Some Pacific Time overlap preferred, with flexibility
- Asynchronous work is expected; meetings will be minimal
- Initially supports the founder directly, with potential to support additional team members as the
- company grows
