Job Description - Senior Production Coordinator (On-Call)

Reporting to the Assistant Director, DHKT Production, the Senior Production Coordinator is responsible for assisting with advancing events and providing onsite management of events on an as-needed basis.



Major Duties and Responsibilities:



  • Lead the event advance process under the direction of the Assistant Director of Production, including, but not limited to, attending meetings and walkthroughs, email communication, producing labor schedules, and/or generating drawings.

  • Consult with clients to establish a manageable schedule and goals and to discuss any design and execution elements.

  • Provide on-site production management from start to finish of the event.

  • Communicate event needs and updates with DHKT staff via Teams.

  • Supervise the DHKT IATSE crew(s) and ensure that work rules and house policies are followed.

  • Direct IATSE crew(s) on priorities during load-in/out.

  • Liaise with the client’s production and vendor teams for any event needs as they arise.

  • Collaborate with the Front of House and Building Operations teams for any security or porter needs.

  • Generate reports and estimates as requested by the Assistant Director of Production.

  • Maintain organization of event paperwork.



Minimum Requirements:



  • Requires a high school diploma or GED

  • At least 2-5 years of verifiable, professional technical and production management experience

  • Knowledge of rigging, carpentry, theatrical lighting, theatrical systems, lifts, and temporary structures

  • Familiarity with the work and techniques of construction and trade unions

  • Proficiency in Microsoft Word and Excel

  • Ability to communicate clearly and consistently with clients and colleagues both verbally and in writing



Work Environment


The Senior Production Coordinator works in a high-capacity, fast-paced theatrical venue, moving between active stage/backstage areas during load-ins and professional front-of-house spaces for client liaison. The role involves exposure to industrial conditions—including noise, rigging, and heavy equipment—alongside administrative duties in a production office.



Must be comfortable working in a fast-paced, deadline-driven environment where schedules are subject to change based on production and event requirements.



Physical Demands


The physical demands described here are representative of those that must be met by an employee to successfully perform the minimum requirements of this position:



  • Candidates must be comfortable with the physical demands of standing for 8–12 hour shifts and navigating a large-scale facility during irregular on-call hours (early mornings, nights, and weekends).



Position Type/Expected Hours of Work


This is an on-call, non-exempt position. Work hours vary according to the event schedule and may include early mornings, nights, and weekends, holidays, and other scheduled work periods as necessary.
