Job Description - Special Events Assistant (Part-Time)

Job Summary: 


The Special Event Assistant supports the setup, execution, and cleanup of special events and helps lead assigned activities. This position also provides friendly and professional customer service under the supervision of the Program Manager of Special Events and Community Engagement.


 


This is an hourly position, and work hours will vary based on the event schedule. Compensation will be determined based on qualifications, experience, and the recommendation of the Program Manager.

Qualifications:



  • Must be at least 16 years of age.

  • Previous experience working with children and/or adults in recreation programs, special events, or activity-based settings preferred.

  • Ability to effectively engage and interact with participants of various ages and backgrounds.

  • Strong customer service skills and ability to work well with the public and fellow employees.

  • Ability to work independently, take initiative, and solve problems proactively.

  • Flexibility with work hours, including evenings, weekends, and special events as needed.

  • Maintain a positive, professional demeanor while representing the Park District.

  • Must be able to obtain CPR/AED/First Aid certification within six (6) months of hire.

  • All employees must pass a criminal background check, which the Glencoe Park District will cover.



Required Knowledge:



  • Knowledge of customer service best practices and ability to provide a positive experience for participants and guests.

  • Understanding of basic safety procedures and protocols for public events.

  • Familiarity with park district recreational programs and special events.

  • Basic working knowledge of event-related technology and equipment (e.g., sound systems, check-in tools, event supplies).

  • Experience working with volunteers and/or part-time staff to support smooth event operations.

  • Ability to follow directions and complete assigned tasks.

  • Strong communication skills, including the ability to speak clearly and respectfully with guests and coworkers.

  • Friendly and approachable demeanor with a customer service mindset.

  • Ability to work independently and stay on task with minimal supervision.

  • Basic problem-solving skills and ability to stay calm in busy situations.

  • Positive attitude and willingness to contribute to a team environment.

  • Ability to represent the Glencoe Park District in a professional and respectful manner.



Essential Duties and Responsibilities:



  • Assist with the setup, execution, and cleanup of special events.

  • Help lead assigned activities and support event operations as directed.

  • Greet guests, provide information, and deliver excellent customer service.

  • Maintain a safe environment by following safety procedures and reporting hazards or incidents to a supervisor.

  • Communicate professionally and respectfully with guests, staff, vendors, and performers.

  • Work independently and consult a supervisor when assistance is needed.

  • Enforce Park District policies and event rules in a positive and professional manner.

  • Maintain a clean and organized event space during and after events.

  • Wear required Park District uniform and/or event badge while on duty.

  • Attend required trainings and meetings.

  • Perform other duties as assigned. The Executive Director and/or Department Head may assign additional responsibilities not listed in this job description. Duties are subject to periodic review and revision.



Physical Demands:


The following physical requirements represent those necessary to successfully perform the essential functions of the Special Event Assistant position. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.


 


While performing the duties of this position, the employee may be required to stand, walk, or sit for extended periods of time. The role may involve lifting, carrying, and moving equipment and event materials. The employee must be able to lift up to 50 pounds occasionally and frequently lift and/or carry objects weighing up to 25 pounds.



Hours:


Due to the nature of park district programming, evening, weekend, and some holiday hours may be expected. 



Pay Scale:


This is a part-time, non-exempt (hourly) position. The intended starting pay for this position is $18.00 per hour, with a full pay scale ranging from $18.00 per hour to $30.00 per hour.



Final compensation will be determined in good faith based on an evaluation of the candidate's qualifications, experience, and the recommendation of the Program Manager – Special Events and Community Engagement or the Department Head.
