Job Description - Transportation Clerk

TITLE: Transportation Clerk



QUALIFICATIONS:


High School Diploma or equivalent is preferred.  Previous experience in coordinating schedules and/or dispatching desired.  Knowledge of basic computer skills using applications such as MS Word, MS Excel, etc. is preferred.   Knowledge of general office procedures and office machines (computer, fax, and copier) is preferred.  Knowledge in Smartchoice, Focus, Google Sheets, and Google Docs is a plus.

10 Month Part-Time Employee


REPORTS TO: Transportation Coordinator



FLSA Status: Non-exempt



SUPERVISES: None


 


POSITION SUMMARY:


Under the supervision of the Transportation Coordinator, the clerk receives and processes transportation requests for student transportation needs.  The clerk must communicate clearly and effectively using two-way radio, telephone, and written instructions, and must be able to read and understand bus route maps; and other related duties as required.



JOB DUTIES:



  • Review all student transportation applications to ensure information reflects information in FOCUS.

  • Ensure student address meets current BHCA, Inc. mileage requirements.

  • Create and maintain Google sheet or roster information for eligible and ineligible transportation students.

  • Assign all students with bus numbers to correspond with transportation route.

  • Add student information to appropriate transportation wait list if eligible and assist in assigning students to the correct bus routes during the beginning of the school year and throughout the school year.

  • Provide bus route information to parents, students, and staff upon request.

  • Track morning and afternoon bus attendance and add new students when needed and notate when a student is dropped from a bus route.

  • Answer basic parent questions via in-person, phone and email and forwards bus change requests to the Transportation Coordinator as needed.

  • Assist with student bus lottery as needed.

  • Take bus driver calls for information and assistance while they are driving routes and trips during the regular workday.

  • Manage, maintain, and file records to assist in completing state reports.

  • Manage and maintain log and requests forms for field trip in accordance with BHCA, Inc. policy and/or procedures.

  • Compute and track trip costs for field trips.

  • Perform other duties as assigned.
