Veterinary Administrative Assistant, VESH

Are you an organized, proactive individual who thrives in a dynamic environment? Veterinary Emergency & Specialty Hospital, located in West Springfield, is looking for a dependable Part-Time Administrative Assistant to support our leadership team and help keep daily operations running smoothly.

Compensation:

• $18.00–$20.00/hour

• Monday–Friday | 10:00 AM – 2:00 PM

• Provide general administrative support for hospital operations
• Maintain organized filing systems (personnel files, medical records, vendor invoices)
• Assist with onboarding new employees and preparing new hire paperwork
• Support accounts receivable tasks (processing payment plans, client communications, follow-ups)
• Run errands (bank, post office, office supplies, etc.)
• Troubleshoot tech issues by coordinating with remote IT support
• Monitor and manage forgotten client items (e.g., carriers, prescriptions)
• Help coordinate staff engagement events and activities
• Perform data entry and miscellaneous office support tasks
• Support inventory operations as needed
• Assist in organizing and returning cremains to clients with care and accuracy

• Strong attention to detail and organizational skills
• Excellent communication and follow-up abilities
• Comfortable juggling multiple priorities and wearing many hats
• Proficient with basic tech troubleshooting and willing to learn new systems
