Position Summary
The Volunteer Coordinator coordinates Seamark Ranch’s volunteer program and serves as the primary point of contact for individuals and groups seeking to serve the organization. This role is responsible for volunteer recruitment, communication, coordination, and documentation to ensure volunteers are prepared, and staff are informed. The Volunteer Coordinator helps create positive volunteer experiences that support Seamark Ranch’s mission through consistent engagement and strong follow-through.
Essential Functions
Volunteer Recruitment & Engagement
- Recruit volunteers to support ministry needs across campus, including individual volunteers, group service projects, and special events
- Maintain ongoing communication with volunteers to encourage engagement and repeat service
- Support creation and sending of a monthly volunteer newsletter with opportunities, updates, and appreciation
- Support planning and coordination of an annual volunteer appreciation or recognition event
Volunteer Coordination & Communication
- Serve as the primary point of contact for volunteer inquiries via email, phone, and Volunteer Management Platform
- Coordinate regular volunteer training and development opportunities
- Respond promptly and professionally to volunteer questions and requests
- Coordinate with the Director of Operations, Director of Programs, and other staff regarding volunteer needs and coverage
- Communicate volunteer details to staff in advance to ensure preparedness
Volunteer Management Platform (Volunteer CRM) Administration
- Manage volunteer opportunities, event postings, and communications within a volunteer management/CRM or volunteer registration system
- Track volunteer registrations, participation, and documentation within the system
- Respond to inquiries and messages submitted through the volunteer management platform
- Maintain accurate volunteer records and data for reporting and planning purposes
Documentation & Compliance
- Ensure volunteers complete all required paperwork, waivers, and acknowledgments prior to service
- Maintain organized and accurate volunteer records
On-Site Support & Supervision
- Be present on campus during volunteer activities to provide direction and support
- Supervise volunteers as needed and work alongside volunteers when appropriate
- Support preparation, setup and cleanup for volunteer activities, including outdoor projects
Required Qualifications
- Friendly, service-oriented communicator with strong interpersonal skills
- Highly organized and detail-focused; reliable, responsive, and consistent follow-through
- Comfortable learning and using volunteer management/CRM software and related tools
- Ability to work independently while coordinating with multiple teams
- Willingness to work a few Saturdays per month
Preferred Qualifications
- Experience coordinating volunteers or working with volunteer programs
- Experience using a volunteer management system, database, or CRM platform
- Experience in a nonprofit, ministry, or mission-driven organization
Physical Requirements
- Ability to stand and walk for extended periods of time
- Ability to work outdoors in heat and varying weather conditions
- Ability to participate in light physical activity alongside volunteers.
Work Environment & Schedule
- Part-time position averaging 20–25 hours per week.
Weekly hours may vary based on volunteer activities, events, and seasonal needs
- Primarily on-site on a large, outdoor campus
- Occasional Saturday work is based on volunteer activities
- A combination of indoor office work and outdoor, active work
