Job Description - Secretary (2 Year Contract)

About the Company

Our client is a leading provider of document solutions and digital imaging services, specializing in secure document management, archiving, and workflow processing. You'll be responsible for providing high-level administrative support to the General Manager (GM) and department, including schedule management, confidential document handling, correspondence oversight, meeting coordination, reporting, event planning, asset management, and travel arrangements.

Responsibilities
  • Co-ordinate with various parties to organize and maintain the GM schedule.
  • Perform full spectrum of high-level administrative duties including scheduling conference meetings and calls, conduct research and preparing reports.
  • Responsible for handling confidential documents and perform support duties that are highly confidential.
  • Regularly interact with other business units which may have tasks that are more complex in nature.
  • Review incoming correspondence, initiate reply as appropriate and route matter requiring actions and follow up to ensure actions are completed.
  • Coordinated meetings, prepared agendas, and recorded minutes accurately.
  • Provided comprehensive administrative and departmental support.
  • Plan and organize department incentive trips, outings, and team events.
  • Ensure department assets are properly maintained.
  • Liaise with travel agencies for department staff travel requirements and arrangements.
Qualifications
  • Diploma in Business Administration or equivalent
  • Proficient in Microsoft Office Suite and comfortable with various IT applications.
  • Strong verbal and written communication skills.
  • Detail-oriented with excellent time management and organizational abilities.
  • 2 years of experience as a showroom concierge or brand reception.
  • Background in hospitality or customer service roles is an advantage.
  • Basic PC and IT skills for daily operational tasks
