Job Description - Admin

The Admin is responsible for supporting operations through accurate documentation, inventory management, and coordination. This role ensures that all material movements are properly recorded, documented, and reported to maintain smooth and efficient warehouse operations.

Key Duties:

1. Data Entry & Record Management

• Accurately record inbound and outbound transactions in the system.

• Maintain and update records, ensuring data accuracy and completeness.

2. Inventory Management

• Verify and register incoming goods against delivery orders and purchase records.

• Conduct periodic stock counts and reconcile inventory discrepancies.

• Monitor stock levels and report shortages or irregularities.

3. Document & Invoice Handling

• Collect, check, and manage delivery orders (DOs), invoices, and goods movement documents.

• Ensure all goods issued and received are supported by proper documentation.

• Liaise with suppliers, drivers, and warehouse workers to confirm daily goods in/out activities.

4. Reporting

• Prepare daily, weekly, and monthly reports on stock movement and balances.

• Provide updates to management and relevant departments regarding warehouse status.

5. Coordination & Support

• Work with the Finance Department to reconcile documents and process invoices.

• Assist in year-end and periodic stocktaking exercises with other departments.

• Arrange and label materials systematically for easy identification and tracking.

Job Requirements

• At least 1–2 years of experience in warehouse administration or logistics support.

• Proficient in Microsoft Office (Excel, Word) and basic inventory/ERP systems.

• Strong attention to detail and accuracy in data entry and document handling.

• Good communication and coordination skills to liaise with internal teams and external parties.

• Able to work independently with minimal supervision and meet reporting deadlines.

Working Conditions

• Location: Balestier Road

• Working Hours: Standard office hours 9am-6pm (with flexibility during stocktake or peak periods).
