Job Description - Admin Accounts Clerk

Accounting Duties

  • Perform Accounts Receivable (AR) and Accounts Payable (AP) functions.
  • Prepare customer invoices, credit notes, and debit notes.
  • Record supplier invoices and process payment vouchers.
  • Perform bank reconciliations.
  • Match receipts and payments accurately.
  • Assist with month-end closing activities.
  • Maintain proper accounting records and filing.
  • Assist in preparing schedules for auditors and tax agents.
  • Support inventory and stock reconciliation where required.
  • Assist with GST-related documentation and record keeping.

Administrative Duties

  • Answer phone calls and respond to email enquiries.
  • Maintain customer and supplier records.
  • Prepare quotations and supporting documents when required.
  • Coordinate with sales, warehouse, and operations departments.
  • Organise and maintain both physical and electronic filing systems.
  • Perform general administrative duties assigned by the Finance Manager or Management.

Requirements

  • Diploma or Degree in Accounting, Finance, Business, or a related field.
  • Fresh graduates are welcome to apply. Prior accounting experience is an advantage.
  • Basic knowledge of accounting principles.
  • Proficient in Microsoft Excel, Word, and Outlook.
  • Experience with ERP or accounting software (such as Microsoft Dynamics 365 Business Central, Xero, or similar systems) is an advantage.
  • Strong attention to detail and accuracy.
  • Good organisational and time management skills.
  • Able to work independently and as part of a team.
  • Positive attitude, responsible, and willing to learn.

Preferred Skills

  • Good communication skills in English (Mandarin is an advantage for communicating with Mandarin-speaking customers and suppliers).
  • Able to prioritise multiple tasks in a fast-paced environment.
  • Good problem-solving skills.
  • High level of integrity and confidentiality.
