Job Description - Admin Assistant

Key Responsibilities

  • Prepare and issue electronic or hardcopy invoices to customers.
  • Manage the procurement, inventory, and distribution of office supplies to ensure sufficient stock levels.
  • Handle incoming calls, direct them to the appropriate personnel, and greet and assist visitors and clients.
  • Perform daily administrative duties, including printing, photocopying, scanning, filing, and document binding.
  • Coordinate the receipt, recording, and dispatch of courier parcels.
  • Compile and summarize employees' overtime records to support monthly payroll processing.
  • Assist the Sales and Project teams with document preparation, filing, and other administrative support.
  • Perform other ad hoc administrative duties as assigned by the supervisor or management

Requirements

  • Diploma or equivalent qualification.
  • At least 1 year of experience in an administrative or office support role. Experience in the construction, engineering, or industrial industry will be an advantage.
  • Proficient in Microsoft Office applications (Excel, Word, and Outlook).
  • Familiar with basic data entry, document filing, and invoice tracking processes.
  • Good command of both English and Mandarin to communicate with Mandarin-speaking colleagues and clients.
  • Detail-oriented, well-organized, and able to manage multiple tasks effectively.
  • A responsible, proactive team player with a positive working attitude.
