Job Description
The Client Services Manager will play a key support role within the Private Banking team, working closely with Senior Relationship Managers to deliver a high standard of service to high-net-worth clients. The role is responsible for providing day-to-day client servicing, operational support, account administration, transaction follow-up, and coordination across internal departments to ensure clients receive timely, accurate, and professional banking support.
This position requires strong knowledge of private banking operations, investment and credit products, regulatory requirements, and client service standards. The successful candidate will be expected to maintain close attention to detail, uphold compliance and risk control standards, and support Relationship Managers in managing client relationships effectively.
Key Responsibilities
Client Servicing and Relationship Support
· Assist Senior Relationship Managers in providing comprehensive private banking services to clients, including responding to client enquiries, coordinating requests, and ensuring smooth execution of client instructions.
· Act as a key point of contact for clients on matters relating to account information, banking services, financial markets, investment transactions, credit facilities, remittances, deposits, and other private banking activities.
· Handle client enquiries in a polite, professional, timely, and accurate manner, ensuring that all communication reflects the Bank’s service standards and regulatory expectations.
· Support Relationship Managers in maintaining strong client relationships by ensuring client needs are followed up on promptly and that service issues are resolved efficiently.
· Provide clients with clear, accurate, and relevant information throughout the service and sales process, including after-sales follow-up where required.
Product, Investment, and Transaction Support
· Assist Senior Relationship Managers in taking and processing client orders for securities investments, banking transactions, and other approved private banking products and services.
· Support the recommendation and delivery of suitable products and services based on clients’ needs, investment objectives, risk profiles, affordability, and financial circumstances.
· Ensure that clients are properly informed of the features, risks, benefits, charges, and relevant procedures relating to products and services offered by the Bank.
· Provide appropriate and professional support inline with the best interests of clients, taking into account their uniquecircumstances and suitability requirements.
· Monitor securities investment transactions ,remittances, loans, deposits, and other banking transactions that are pending settlement, particularly on value date, to ensure timely completion and escalation of any issues.
· Coordinate with operations, treasury, credit, compliance, and other internal teams to follow up on transaction processing, settlement status, documentation, and client requests.
Credit and Facility Administration
· Assist Senior Relationship Managers in preparing credit proposals, credit amendments, annual credit reviews, and other credit-related documentation.
· Support the daily monitoring of collateral positions, loan exposures, margin requirements, and credit facility utilization for private banking clients.
· Follow up on outstanding credit documentation, facility conditions, collateral shortfalls, limit excesses, or other credit-related matters where necessary.
· Ensure credit-related records and supporting documents are properly maintained and updated in accordance with the Bank’s internal policies and regulatory requirements.
Account Opening and Documentation
· Prepare and coordinate documentation for new client account openings, including client onboarding forms, supporting documents, declarations, and required due diligence materials.
· Assist in ensuring account opening documentation is complete, accurate, and compliant with internal policies, regulatory guidelines, and know-your-customer requirements.
· Follow up with clients and internal departments on outstanding documentation, approvals, and account activation matters.
· Maintain proper records of client instructions, account documents, transaction forms, correspondence, and other client-related files.
Compliance, Regulatory, and Risk Management
· Ensure all client servicing, transactionsupport, documentation, and sales-related activities are carried out inaccordance with the standards, requirements, and guidelines prescribed byregulators and the Bank.
· Disclose claim, redress, and complaintprocedures to clients throughout and after the sales process, and upon request.
· Support the Relationship Managers in ensuring that all client interactions, product discussions, and transaction handling are conducted fairly, transparently, and professionally.
· Escalate suspicious transactions, client complaints, operational issues, documentation gaps, settlement delays, or potential compliance concerns to the appropriate parties in a timely manner.
· Maintain confidentiality of client information and ensure all client records and files are safeguarded properly.
Administrative and Operational Support
· Maintain and safeguard client records, files ,and related documentation in an organised and secure manner.
· Assist with daily administrative tasks required to support the Private Banking team, including internal reporting, documentation tracking, transaction follow-up, and client service coordination.
· Liaise with internal stakeholders to ensureclient requests and operational matters are handled efficiently and inaccordance with bank procedures.
· Support process improvements and contribute tomaintaining a high level of operational efficiency within the Private Bankingteam.
Requirements
· Bachelor’s degree or university qualification preferred.
· Possession of CACS Paper 1 and Paper 2 is required.
· Minimum 5 years of relevant working experience, preferably within Private Banking, Wealth Management, or a similar client servicing environment.
· Good understanding of banking procedures, private banking operations, client onboarding, transaction processing, and account administration.
· Sound knowledge of credit products, investment products, securities transactions, deposits, loans, remittances, and related banking services.
· Strong awareness of regulatory requirements, suitability standards, client documentation requirements, and compliance expectations within the private banking industry.
· Excellent client service mindset with the ability to handle enquiries professionally, accurately, and with discretion.
· Strong communication, presentation, and interpersonal skills.
· Excellent command of written and spoken English and Chinese, with the ability to communicate effectively with both clients and internal stakeholders.
· Good team player with a proactive attitude, strong sense of responsibility, and ability to work closely with Relationship Managers and internal departments.
· High attention to detail, strong organisational skills, and ability to manage multiple tasks and deadlines in a fast-paced banking environment.
· Strong integrity, professionalism, and commitment to maintaining confidentiality of client information.
