Job Description - Corporate Secretarial Admin

We are seeking a detail-oriented and proactive Corporate Secretarial Administrator to support our corporate secretarial team in ensuring compliance with statutory and regulatory requirements for a portfolio of clients. Also, help with engagement letters, payments and payrolls.
Key Responsibilities:

  • Assist in the preparation and filing of statutory documents with the Accounting and Corporate Regulatory Authority (ACRA).
  • Maintain and update company statutory records, registers, and corporate databases.
  • Prepare directors' and shareholders' resolutions, meeting minutes, and other corporate documents.
  • Monitor filing deadlines and ensure timely submission of annual returns and other statutory filings.
  • Coordinate with clients, directors, shareholders, auditors, tax agents, and regulatory authorities.
  • Assist in company incorporations, changes in company particulars, share transfers, and company strike-off applications.
  • Prepare engagement letters, invoices, and administrative documentation.
  • Ensure proper filing and maintenance of physical and electronic corporate records.
  • Support the team in compliance reviews and due diligence exercises.
  • Handle general administrative duties and ad-hoc assignments as required.

Requirements

  • Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, or equivalent qualification in Business Administration, Accountancy, Corporate Administration, Law, or related disciplines.
  • Minimum 1–2 years of experience in corporate secretarial, administrative, accounting, or professional services environments preferred.
  • Familiarity with Singapore Companies Act and corporate secretarial practices will be an advantage.
  • Experience using corporate secretarial software and the ACRA BizFile+ system is preferred.
  • Proficient in Microsoft Office applications, particularly Word, Excel, and Outlook.
  • Strong attention to detail with excellent organizational and time management skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Good written and verbal communication skills.
  • Able to work independently and as part of a team.
  • Positive attitude, willingness to learn, and strong sense of responsibility.

Preferred Skills

  • Knowledge of company incorporation, annual return filings, share transactions, and company strike-off procedures.
  • Understanding of XBRL filing requirements would be advantageous.
  • Experience in a corporate secretarial firm, accounting firm, or professional services environment.
  • Customer service-oriented with strong client relationship management skills.
