Job Description - Finance & Admin Officer

Job Summary

You will support the Finance & Admin Manager by managing finance and administrative operations for the church, collaborating with ministry staff, and ensuring accurate processing of accounts, payroll, and reports to enable smooth church and preschool functions.

Responsibilities

  • Process accounts receivable and payable transactions accurately for designated sections
  • Perform data entry and invoice processing to maintain up-to-date financial records
  • Reconcile monthly bank statements and resolve bank-related issues promptly
  • Manage payroll processing for church and preschool staff using HR management systems
  • Handle and process medical claims for staff through the human resource system
  • Assist in compiling the church’s annual report and provide administrative support to management
  • Respond to booking inquiries for tenants, ad-hoc events, and weddings at church premises
  • Collaborate with ministry staff to support overall finance and administrative operations
  • Manage multiple tasks, prioritize work effectively, and meet deadlines consistently
  • Use Microsoft Office applications (Excel, Word, Outlook, PowerPoint) proficiently to support administrative tasks
  • Operate accounting software and human resource management systems efficiently to maintain accurate records

Preferred competencies and qualifications

  • Diploma in Accounting or Diploma in Business Administration with relevant bookkeeping and financial administration experience
  • 1 to 3 years of experience in bookkeeping, accounts payable/receivable, bank reconciliations, and financial administration
  • Prior experience in finance and administrative roles within charities and churches is an added advantage
  • Basic proficiency in Mandarin to liaise occasionally with the Chinese Section
  • Strong organisational and time management skills to handle diverse responsibilities
  • Effective interpersonal and communication skills to collaborate with team members
  • Ability to work independently and collaboratively within a team environment
