Job Description - Trade Spend Claim Executive (Accounts Receivable) - 1 year

A leading global organisation is seeking a Trade Claim Spend Executive to join their Singapore-based team.

This role offers you the opportunity to play a pivotal part in ensuring the accuracy and reliability of trade-related claims and spend reconciliation, directly impacting business decision-making and reporting. You will be at the heart of cross-functional collaboration, connecting with Sales, Trade Marketing, Accounts Receivable, and Finance teams to maintain data integrity and compliance. The position is ideal for someone who thrives in a supportive environment where attention to detail, adaptability, and interpersonal skills are highly valued. With flexible working opportunities and access to ongoing training, this role provides an excellent platform for professional growth within the fast-moving consumer goods sector.

You will be responsible for processing and approving trade-related claims from distributors and customers, ensuring all documentation meets company guidelines and contractual terms.

  • You will collaborate closely with multiple departments including Sales, Trade Marketing, Accounts Receivable, and Finance to reconcile trade spend balances and support month-end closing activities.
  • You will have the chance to contribute to process improvements, centralise claims activities within Finance, and participate in internal and external audits related to trade spend and customer claims.

What you'll do:

As a Trade Claim Spend Executive based in Singapore, your day-to-day responsibilities will revolve around maintaining the highest standards of accuracy in processing distributor and customer claims. You will be instrumental in validating documentation for Operating Activities (OA) and Marketing Fund (MF) transactions, ensuring every claim is thoroughly checked before approval. Your role involves monitoring workflows for timely postings, liaising with various teams to confirm compliance with contractual terms, reconciling deductions with Accounts Receivable, performing regular checks for discrepancies or risks, and enhancing centralised finance processes. You will also manage trade spend reconciliation between SAP ECC systems and tracking files, prepare monthly reconciliations against commercial approvals, provide detailed variance analyses, support month-end closing activities by delivering reconciled balances, respond to audit requests related to trade spend or customer claims, and propose improvements for greater alignment within Finance. Success in this role requires you to be dependable, collaborative, attentive to detail, adaptable as the scope evolves, and committed to supporting your colleagues across departments.

  • Process and approve distributors’ and customers’ trade-related claims such as promotional invoices, credit notes, and deductions in accordance with established company guidelines.
  • Validate the completeness and accuracy of claim documentation including supporting agreements, contracts, and promotional proof of performance to ensure compliance.
  • Escalate any discrepancies found in claims to relevant teams such as Sales or Trade Marketing for corrective actions while ensuring timely follow-up on agreed resolutions.
  • Monitor claim workflows consistently to guarantee timely approvals and postings across all systems involved.
  • Liaise regularly with Sales and Trade Marketing teams to confirm that all transactions comply with contractual terms and conditions.
  • Co-operate with the Accounts Receivable team to reconcile deductions efficiently and ensure proper clearing of open items within financial records.
  • Perform periodic checks on claims processes to identify discrepancies, overdue claims, or potential risks that may impact business operations.
  • Enhance the centralisation of claims activities within Finance by proposing improvements that align with organisational goals.
  • Reconcile Trade Spend balances between SAP ECC systems and tracking files to guarantee consistency across managerial P&L statements.
  • Prepare monthly reconciliations between SAP/financial estimates versus Commercial team approved spend while providing variance analysis and explanations.

What you bring:

The ideal candidate for the Trade Claim Spend Executive position brings proven experience in managing complex financial documentation within a fast-moving consumer goods environment. Your proficiency in Excel—particularly VLOOKUPs and Pivot Tables—combined with familiarity using SAP systems enables you to handle large volumes of data accurately. You possess a deep understanding of FMCG market dynamics which informs your approach when reconciling trade spend balances or preparing variance analyses. Your adaptability allows you to thrive as the scope of this new role changes over time. Interpersonal skills are key; you excel at collaborating across departments such as Sales, Trade Marketing, Accounts Receivable, Admin Team, Controlling Team, and Finance. Your reliability ensures that all data processed supports sound business decisions while your attention to detail guarantees thorough document checking. Escalating issues diplomatically reflects your commitment to communal solutions rather than individual action. Experience supporting audit requests or month-end closings further demonstrates your dependability in maintaining accurate financial records.

  • Intermediate Excel skills are essential; you must demonstrate strong ability with VLOOKUP functions and Pivot Tables while Power Query experience is considered advantageous.
  • Experience using SAP systems for extracting data is required so you can efficiently manage reconciliation tasks.
  • A solid understanding of the fast-moving consumer goods (FMCG) market will help you contextualise trade spend activities within industry standards.
  • Adaptability is crucial as this new role may evolve over time; flexibility in responding positively to change is highly valued.
  • Excellent interpersonal skills are needed for effective collaboration across cross-functional teams including Sales, Trade Marketing, Accounts Receivable, Admin Team, Controlling Team, and Finance.
  • Reliability in maintaining data accuracy is vital for supporting business decision-making processes through precise reporting.
  • Strong attention to detail ensures thorough checking of documents related to OA claim processing and consistent trade spend reconciliation.
  • Ability to escalate issues diplomatically while following up on corrective actions demonstrates your commitment to communal problem-solving.
  • Experience contributing to internal or external audit requests related to financial processes is beneficial for supporting compliance requirements.
  • Proven track record of supporting month-end closing activities by providing reconciled balances and clear explanations will set you apart.
