PMS

• Data entry unit by unit for almost 7000 equipment

• Separately monitor quarterly return of PMS for home lift and special frequency of servicing

• Separating out carbon copy to finance

• Retrieval of PMS upon customer request

• Filing of PMS by job sites by month

• Support finance/ commercial on PMS retrieval for invoicing and payment claims

Service Reports

• Filing of service reports by job sites by month (more than 3000 copies per month for CBKs, follow ups and repair works)

• Search of service reports for chargeable jobs

Contracts

• Scanning of all new and renewed contracts into P drive

• Filing of contracts into compactors with one file for each contract

Annual Testing

• Sorting and saving of eForm emails into drives for the entire portfolio

• Scanning of Service Reports

Tools Management

• Arrangement of physical tool bags in store

• Paperwork of toolbag management

Spare Parts Management

Fixed Repair

• Recording of committed fee for statutory tests

• Sending of hard copy invoices to customer

• Filing of repair invoices + service reports

• Manual entry of timesheets work done before creation of orders

Servicing Schedule

• Manual creation of servicing schedule in accordance to SL calendar to customers

• Maintenance of Master Servicing schedule

Archiving

• Quarterly Archiving and scanning if required

Other administrative tasks

• Support receptionist duty (average 1 day per month)

• Audit support for retrieval of documents

• Preparation and mailing of DLFI letters

• Adhoc administration tasks
