Overview
We are seeking a highly organised and proactive Administrative Assistant to join our team in Singapore. The ideal candidate is detail-oriented, a strong communicator, and comfortable working in a fast-paced, creative environment. This role provides essential administrative and operational support to the studio, working closely with the Office Manager and senior team members to ensure smooth day-to-day operations.
Job Description – Administrative Assistant
Provide day-to-day administrative support to the studio, including managing correspondence, scheduling meetings, and maintaining office records.
Assist in the preparation and formatting of fee proposals, contracts, invoices, and client correspondence.
Manage office supplies, equipment, and facilities, ensuring the studio is well-organised and fully operational at all times.
Coordinate travel arrangements, accommodation, and logistics for staff and project-related visits.
Support the onboarding of new staff, including preparation of documentation and introductory arrangements.
Maintain and update project trackers, filing systems, and internal databases in an organised and accurate manner.
Assist with basic accounting and finance tasks, including processing invoices, tracking reimbursements, and liaising with the accounts team.
Handle incoming and outgoing communications, including emails, courier deliveries, and general enquiries.
Assist in organising company events, team activities, and client meetings.
Support the Office Manager with HR administration tasks, including leave tracking and staff records.
Undertake any other administrative or operational tasks as directed by the Office Manager or senior management.
Contribute positively to the studio culture and support a collaborative and efficient working environment.
Qualifications
Diploma or Degree in Business Administration, Office Management, or a related field
2–5 years of experience in an administrative or office support role, preferably within a professional services or creative environment.
Strong organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
Excellent written and verbal communication skills in English.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with accounting or project management software is an advantage.
Discretion and professionalism in handling confidential information.
