RESPONSIBILITIES
Role Overview
The Administrative Associate supports the day-to-day administrative and financial processes of the centre, ensuring that operations run smoothly and efficiently. This role helps keep processes organised, accurate, and on track.
You play an indirect but important role in enabling the rehabilitation and positive social impact of incarcerated individuals and their families, by supporting the teams who work directly with them.
Key Responsibilities
Financial & Claims Administration
Process reimbursements, petty cash claims, and financial assistance submissions with accuracy and compliance.
Monitor balances, track expenditures, and support monthly financial reporting.
Maintain proper documentation and liaise with Finance to ensure timely processing and audit readiness.
Administrative Operations
Manage onboarding administration, claims processing, and documentation filing.
Support audits, compliance checks, and respond to internal administrative enquiries.
Office & Logistics Support
Manage the procurement and inventory of office and pantry supplies using internal procurement systems.
Support logistics for meetings, events, and centre activities, including coordination, recording of minutes and distribution of administrative updates.
Monitor office equipment regularly, coordinating servicing or replacement as required to prevent operational disruptions.
Coordination & Communication
Work closely with caseworkers, Finance, and stakeholders to ensure timely submissions and follow-ups.
Consolidate reports to ensure streamlined data collection.
Provide timely updates and reminders on key administrative timelines.
Data Management & Process Improvement
Maintain databases and support accurate tracking of operational data.
Identify opportunities to streamline workflows and improve administrative efficiency through digital tools.
QUALIFICATIONS
Minimum O Levels, ITE, or Diploma.
1-3 years in administrative, finance support, or data-related roles.
Proficiency in Microsoft 365; working knowledge of Excel for tracking and reporting.
Highly organised, detail-oriented, and able to manage multiple priorities. Strong communication skills are essential.
Comfortable working in a structured, compliance-driven environment and open to adopting new systems.
