We are seeking a highly organised and proactive Admin Executive to support the administrative, operational, and coordination functions of a fast-paced carpentry factory. The role involves handling project documentation, liaising with suppliers and clients, coordinating production schedules, managing inventory records, and supporting overall business operations to ensure smooth workflow between office and factory teams.
Key Responsibilities
Manage daily administrative and operational matters for the factory
Prepare quotations, invoices, purchase orders, delivery orders, and project documentation
Coordinate with clients, suppliers, contractors, and production staff on project timelines and delivery schedules
Track inventory, materials, and procurement orders
Maintain proper filing systems and accurate data records
Assist management with reports, scheduling, and operational planning
Handle customer enquiries, emails, and phone communications professionally
Support HR, payroll, and staff administrative matters when required
Ensure compliance with company procedures and documentation standards
Requirements
Diploma or relevant qualifications preferred
Minimum 2–3 years of administrative or operations experience
Experience in carpentry, interior design, renovation, manufacturing, or construction industry is advantageous
Proficient in Microsoft Office applications, especially Excel and Word
Strong communication, coordination, and organisational skills
Ability to multitask and work independently in a fast-paced environment
