Job Description - Admin Executive (Bukit Merah Depot)

Job Summary

Support operations by managing administrative tasks, preparing reports, reconciling attendance and overtime, tracking purchases and waste data, and assisting with departmental meetings to ensure smooth and compliant daily operations.

Responsibilities

  • Perform operational administrative duties to support daily functions and prepare accurate operation reports
  • Reconcile attendance records and track Direct Labour (DL) leave submissions to maintain accurate workforce data
  • Monitor and ensure compliance with overtime limits capped at 72 hours monthly and schedule weekly rest days for all DLs
  • Alert Operations team when DL overtime reaches 60 hours to manage workload and compliance
  • Prepare and raise CAPEX and EPR purchase requests following company procedures
  • Prepare monthly accrual reports aligned with Finance deadlines to support financial accuracy
  • Track daily Goods Received Notes (GRN) to ensure proper inventory documentation
  • Complete monthly VIM coding and accrual for purchase requests/orders (PR/PO) and non-PR/PO items to maintain financial records
  • Enter daily waste tonnage data accurately and prepare monthly waste reports for operational tracking
  • Assist in daily verification of ESO and Disposal Tickets before dispatching to Pre-billing for billing accuracy
  • Serve as secretary during monthly departmental meetings by preparing agendas and recording meeting minutes
  • Perform other assigned duties to support operational efficiency and team needs

Required competencies and certifications

  • Proficient in Microsoft Office applications to efficiently manage administrative tasks and reporting
  • Strong planning and organizational skills to coordinate multiple administrative functions effectively
  • High attention to detail and ability to understand system processes to ensure accuracy and compliance

Preferred competencies and qualifications

  • Completed Higher Nitec or Diploma in any discipline with at least 2 years of administrative experience; fresh graduates are welcome.

  • Working hours: 8.30am to 6.00pm
