Job Opportunity: Admin Executive
Location: Henderson Road
Industry: Petrochemical Distributor & Marketer of Lubricant Raw Materials
Position: Admin Executive
Salary: $2,800 – $3,300
Working Hours: 9:00am – 6:00pm (Monday – Friday)
5 Days Work Week

• Provide administrative and operational support for sales, logistics, and office coordination.
• Prepare, process, and verify quotations, invoices, delivery orders, packing lists, shipping documents, and export/import documentation accurately.
• Handle export shipment coordination, including booking with freight forwarders, transport arrangements, and shipment scheduling.
• Liaise closely with freight forwarders, transporters, suppliers, customs agents, and logistics partners to ensure smooth cargo movement and timely delivery.
• Ensure compliance with import/export regulations, customs requirements, and shipping procedures.
• Monitor shipment progress and provide timely updates on delivery status, customs clearance, and shipment schedules.
• Maintain proper documentation and filing systems for operational, sales, and shipping records.
• Support inventory coordination and assist in stock movement tracking where required.
• Coordinate internally with warehouse, sales, finance, and operations departments to ensure smooth daily workflow.
• Manage general administrative duties including data entry, report preparation, scheduling, and correspondence.
• Assist management with ad hoc administrative and operational duties as assigned.
• Minimum 2 years of relevant working experience in Administrative / Sales Coordination / Export Coordination roles.
• Candidates with export documentation and shipment coordination knowledge are preferred.
• Diploma / Degree in Business Administration, Logistics, Supply Chain, or related field preferred.
• Familiar with import/export procedures, shipping documentation, and freight coordination.
• Proficient in Microsoft Office applications (Excel, Word, Outlook).
• Experience with ERP / inventory systems or CRM software will be an advantage.
• Strong communication, coordination, and organizational skills.
• Able to multitask and work efficiently in a fast-paced environment.
• Responsible, detail-oriented, and able to work independently.
