Admin Manager

The Whole Kitchen is a healthy gluten free bakery in Singapore. We are looking to grow our team and business and are looking for a full time Admin Manager to support our Administration & Logistics department.

Job description & Key responsibilities:

• Oversee daily office operations (supplies, documentation, filing systems)
• Manage contracts, vendor agreements, and insurance
• Coordinate internal communications across departments (production, QA, sales)
• Maintain company records, licenses, and permits
• Work closely with production team
• Monitor inventory levels (raw materials, packaging, finished goods)
• Coordinate procurement of gluten-free ingredients
• Support logistics and delivery coordination
• Maintain documentation for audits and inspections
• Keep records of batch production, traceability, and recalls
• Process customers invoices, purchase orders, and adhoc expense tracking (if any)
• Source and negotiate with suppliers (especially certified gluten-free vendors)
• Manage stock ordering and delivery timelines
• Support expansion (new outlets, new product lines)
• Improve internal processes and SOPs
• Assist management in operational planning and efficiency improvements
• Maintain documentation for audits and inspection (Halal and ISO certifications)

Candidate must have following skills:

• be a team player but also be able to work autonomously
• have good English written and communication skills
• Computer literate, including Microsoft excel skills
• have good attention to detail
• Well organized
• Past experience in admin/logistics, or working in food business is an advantage.
• An interest in food, health and wellness a bonus!

Additional info:

• 5 days work per week
• Able to start soonest possible will be beneficial
