Job Description
Roles and Responsibilities
This is a full-time on-site role for an Administrative Secretary at URBNarc, located in Singapore. The Administrative Secretary will be responsible for various day-to-day tasks, including clerical work, administrative assistance, communication, scheduling, and customer service. They will support the team in ensuring smooth operations and maintaining effective communication within the organization.
Admin & Secretarial
· In-charge of day-to-day running of the office
· Administer and manage inbound/outbound mail, courier, office equipment, IT, insurance, etc.
· Manage office replenishment orders – e.g., Stationery, pantry, name cards, etc.
· Establish office standards, organize office operations and procedures.
· Strong clerical skills, including data entry, record keeping, and file management
· Experience in providing administrative assistance, organizing files, and maintaining documents
· Excellent communication skills, both verbal and written
· Proficiency in scheduling appointments, meetings, and travel arrangements
· Customer service-oriented mindset and ability to handle inquiries and resolve issues
· Attention to detail and ability to prioritize tasks effectively
· Experience using office software, such as Microsoft Office Suite
· Knowledge of basic accounting principles is a plus
· Provide Secretarial support to Design Director
· On boarding & off boarding of staff and related paperwork
· Apply and follow through for relevant employment/ work passes online with MOM
· Assist Managers on all recruitment matters.
· Assist Director to prepare Material for Proposal and Presentations
· Assist Director to prepare Corporate portfolio, proposals, and the various portfolios to present to potential clients
· Maintain records of payments done for Director
· Typing of correspondence
· Arrange logistics for staff for any required business trips, including hotel, airline bookings, etc.
Job Requirements:
· Minimum Diploma in Business/ Administrative Management.
· Minimum 4 years of relevant experience in office management
· Strong knowledge in Word, Excel, Outlook.
· Experience in travel bookings and calendaring
· Strong interpersonal skills with the ability to communicate at all levels and diversity
· Organization abilities, attention to detail and able to multi-task
· Possess a positive and pro-active attitude, resourceful and able to work independently.
