We are seeking a meticulous and organized Admin/Accounts Assistant to support our growing operations. The ideal candidate will handle day-to-day administrative tasks and basic accounting functions, with a specific focus on supporting our commodity trading desk. Experience or knowledge of the commodity trading lifecycle, trade documentation, and shipping terminology is highly preferred.
1. Accounts Support:
Assist in maintaining accurate financial records, including accounts payable (AP) and accounts receivable (AR).
Process invoices, payment vouchers, and expense claims accurately and in a timely manner.
Perform bank reconciliations and monitor cash flow updates.
Assist in the preparation of monthly financial reports and closing schedules.
2. Trade Admin & Logistics Support:
Handle trade documentation including Letters of Credit (L/C), Bills of Lading (B/L), commercial invoices, and packing lists.
Coordinate with banks for trade finance documentation processing.
Liaise with operational teams, brokers, and shipping agents to ensure smooth trade execution and documentation flow.
Maintain and update trade execution files, contracts, and customer databases.
3. General Administration:
Manage corporate filing systems (both physical and digital) to ensure audit readiness.
Handle general office administrative duties, including managing office supplies and incoming/outgoing mail.
Support management with ad-hoc administrative or financial tasks as required.
Education: Diploma or Degree in Accountancy, Finance, Business Administration, or a related discipline.
Experience: Minimum 1–2 years of experience in an admin/accounting role, ideally within a Commodity Trading or Wholesale Trade environment.
Industry Knowledge: Basic understanding of trade finance instruments (e.g., Letters of Credit) and shipping/incoterms is highly advantageous.
Technical Skills: Proficiency in MS Office (especially MS Excel for data management) and familiarity with accounting software (e.g., Xero, QuickBooks, or SAP).
Soft Skills: Strong attention to detail, highly organized, excellent communication skills, and the ability to work effectively under tight trade deadlines.
