Job Description - Admin/Accounts

Role Overview

We are seeking a meticulous and organized Admin/Accounts Assistant to support our growing operations. The ideal candidate will handle day-to-day administrative tasks and basic accounting functions, with a specific focus on supporting our commodity trading desk. Experience or knowledge of the commodity trading lifecycle, trade documentation, and shipping terminology is highly preferred.

Key Responsibilities

1. Accounts Support:

  • Assist in maintaining accurate financial records, including accounts payable (AP) and accounts receivable (AR).

  • Process invoices, payment vouchers, and expense claims accurately and in a timely manner.

  • Perform bank reconciliations and monitor cash flow updates.

  • Assist in the preparation of monthly financial reports and closing schedules.

2. Trade Admin & Logistics Support:

  • Handle trade documentation including Letters of Credit (L/C), Bills of Lading (B/L), commercial invoices, and packing lists.

  • Coordinate with banks for trade finance documentation processing.

  • Liaise with operational teams, brokers, and shipping agents to ensure smooth trade execution and documentation flow.

  • Maintain and update trade execution files, contracts, and customer databases.

3. General Administration:

  • Manage corporate filing systems (both physical and digital) to ensure audit readiness.

  • Handle general office administrative duties, including managing office supplies and incoming/outgoing mail.

  • Support management with ad-hoc administrative or financial tasks as required.

Requirements & Qualifications

  • Education: Diploma or Degree in Accountancy, Finance, Business Administration, or a related discipline.

  • Experience: Minimum 1–2 years of experience in an admin/accounting role, ideally within a Commodity Trading or Wholesale Trade environment.

  • Industry Knowledge: Basic understanding of trade finance instruments (e.g., Letters of Credit) and shipping/incoterms is highly advantageous.

  • Technical Skills: Proficiency in MS Office (especially MS Excel for data management) and familiarity with accounting software (e.g., Xero, QuickBooks, or SAP).

  • Soft Skills: Strong attention to detail, highly organized, excellent communication skills, and the ability to work effectively under tight trade deadlines.
