Administration Executive

Job Summary

Support landscape operations by managing administrative tasks, coordinating procurement and permits, maintaining records, and assisting finance and HR functions to ensure smooth project execution.

Responsibilities

• Manage and follow up on service chits, landscape/photo reports, attendance reports, yearly maintenance schedules, and contract renewals to ensure accurate documentation and timely processing
• Maintain and update digital files and Standard Operating Procedures (SOPs) on the server for easy access and compliance
• Prepare, submit, and file quotations and purchase orders to support procurement and project budgeting
• Source and compare quotes from contractors, vendors, and suppliers to maintain an updated price database for cost-effective purchasing
• Assist with finance tasks, BCA/LCR renewals, and HR-related matters as needed to support operational compliance
• Apply for and submit "Permit to Work" applications for project sites to ensure regulatory adherence
• Coordinate pre-ordering and delivery arrangements for materials and plants required at project sites to maintain workflow continuity
• Update and manage office and site maintenance inventory lists to track resource availability
• Issue and maintain records for personal protective equipment (PPE) to ensure staff safety compliance
• Perform other administrative duties as required to support team and project needs
