Job Description - Administrative Coordinator

About the Role

We are seeking a reliable and detail-oriented Administrative Coordinator to support our Financial Advisory team. This role is ideal for someone who enjoys organization, client coordination, administrative work, and has an interest in basic social media management. You will play an important role in ensuring smooth day-to-day operations while supporting both our consultants and the firm’s online presence.

Key Responsibilities

  • Coordinate and schedule client appointments for financial consultants.
  • Liaise with clients to confirm meetings and follow up on appointments.
  • Prepare and organize client documentation and administrative paperwork.
  • Maintain accurate client records and update internal systems.
  • Handle general administrative duties, including filing, data entry, and document management.
  • Assist with processing applications and ensuring documents are complete.
  • Support consultants with daily operational and administrative tasks.
  • Assist with basic social media management, including scheduling posts, uploading content, and responding to simple enquiries where required.
  • Perform simple graphic editing using tools such as Canva to create or update social media content.
  • Use Microsoft Office and digital platforms to manage workflows and improve efficiency.
  • Perform other ad-hoc administrative duties as assigned

Requirements

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Familiar with Canva or willing to learn simple graphic editing tools.
  • Comfortable using social media platforms such as Instagram, Facebook, LinkedIn, or TikTok.
  • Comfortable using technology and willing to learn new digital tools and systems.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Good communication and interpersonal skills.
  • Able to work independently and as part of a team.
  • Prior administrative, coordination, customer service, or social media experience is an advantage.

What We Offer

  • Salary: SGD 2,500 – SGD 3,000 monthly.
  • Stable working hours: (Monday to Friday, 9:30 AM – 6:00 PM).
