Job Description - Administrative Executive

Administrative Executive

We are looking for an experienced and organised Administrative Executive to join our team.

Responsibilities

  • Provide general administrative and secretarial support to lawyers and executives
  • Manage client matters, including maintaining the client database, conducting conflict checks, opening and closing files, and data entry and filing of documents (physical and electronic)
  • Liaise and coordinate with third-party service providers, including IT and facilities management
  • Manage procurement and maintenance of office supplies
  • Handle day-to-day office duties, including attending to phone calls, sorting and distributing mail, and liaising with despatch and courier services
  • Monitor deadlines and lawyers’ schedules
  • Assist with archiving and retrieval of files
  • Maintain office cleanliness and upkeep
  • Receive and attend to visitors and handle enquiries in a professional manner

Requirements

  • Polytechnic Diploma
  • Minimum 3–4 years of relevant experience in a law firm or professional services environment
  • Good command of written and spoken English; ability to communicate in Mandarin or dialect is an advantage
  • Proficient in Microsoft Office, particularly Word and Excel
  • Meticulous, well-organised, and able to work well under time constraints; must be prepared to work beyond office hours when required
  • Able to multi-task, prioritise, and work independently in a fast-paced environment
  • Team player with a positive attitude and good interpersonal skills
