The Opportunity

Esco Aster Pte Ltd is an affiliate of Esco Lifesciences Group and was first incorporated in 2017.

Esco Aster is a contract research development and manufacturing organization founded and deeply rooted by scientists enabling fellow scientists to translate their bench work into commercially available products at affordable prices.

The Scope

You will be part of Esco Aster’s Corporate Functions team and contribute towards the company’s overall mission and objectives. You will participate in the administrative and organizational planning activities, including handling human resources matters in coordination with Esco Aster’s practices and guidelines. Your role will requirement effective engagement and communications with various internal and external stakeholders. The HR/Admin Executive is a dual-function role responsible for maintaining seamless HR operations while proactively building the infrastructure for the company’s next phase of growth. This position balances essential administrative execution with the strategic design of new people-centric initiatives.

Primary work location: Ayer Rajah, Singapore

Reporting to: CEO

Job Responsibilities

· Develop and implement processes and workflows to improve organizational efficiency.

· Develop and implement company policies and guidelines as required.

· Prepare payroll costs and annual budgets, reports, organization charts and presentations for management.

· Facilitate the management and hiring managers in the recruitment processes.

· Develop materials for and handle new hire onboarding process.

· Support management in personnel development and performance management matters.

· Organize and provide lead secretarial support for management meetings, work plan meetings, townhalls and communication sessions.

· Coordinate closely with all departments and business units to ensure effective communication and process flow.

· Actively encourage continuous improvement and seek opportunities for cost savings.

· Ensure proper recordkeeping and documentation archival.

· Oversee and manage various office and facilities related matters.

· Participate in company’s new initiatives and projects.

· Exercise appropriate discretion and judgment in handling employee information, HR documentation, and administrative matters.

· Serve as key contact point for employees to provide feedback and raise any issues.

· Escalating issues to management as appropriate in a timely manner.

· Assess situations and recommend practical solutions in accordance with company policies and employment regulations.

· Handle confidential information with a high degree of professionalism, integrity, and discretion.

· Interface and communicate effectively with various stakeholders.

Requirements

· Degree in relevant discipline.

· At least 2 years’ experience in administrative and organizational planning functions.

· Certain level of experience and knowledge in human resources work is preferred.

· Self-motivated and possesses strong desire to support the operations with excellent communication skills and follow up abilities.

· Ability to work well independently and in a team, with strong problem solving and analytical skills.

·Demonstrated ability to exercise sound judgment and discretion when handling confidential and sensitive information.

· Ability to make informed decisions independently within established policies and procedures.

· Strong professional judgment with the ability to prioritize tasks and resolve routine issues effectively.

· Proven ability to exercise discretion and maintain confidentiality in HR and administrative matters.

· Able to align and partner effectively with stakeholders and cross-functional personnel.

· Advanced knowledge and proficiency in Microsoft Office.

· Positive and proactive outlook.

· Good communication skills and able to openly communicate and escalate any relevant issues.

· Develop positive relationship with a strong set of interpersonal skills and able to provide guidance and obtain buy in from all levels of organization.
