ROLE
The Admissions Executive supports the school’s admissions and enrollment process by providing high-quality customer service to prospective families, managing admissions administration, and coordinating admissions-related events such as open houses, school tours, and outreach activities. The role requires excellent organizational skills, attention to detail, and the ability to represent the school professionally to internal and external stakeholders.
JOB RESPONSIBILITIES
Admissions Support
Support the Head of Admissions/Admissions Manager, in handling inquiries via phone, email, and in-person.
Assist the Head of Admissions/Admissions Manager in scheduling and conducting school tours, ensuring a positive and professional experience.
Manage applications, coordinate assessments and interviews with academic team and conducting admissions screener assessments if required support the enrolment process.
Maintain accurate and updated student application records in the admissions system.
Event Coordination
Support the Head of Admissions/Admissions Manager in planning, organizing and executing, and execute admissions-related events such as open houses, information sessions, orientation days, and school fairs.
Liaise with internal departments (academic, marketing, operations) to ensure smooth event delivery.
Support logistics, including venue setup, registration, guest lists, and post-event follow-up.
Assist in developing promotional materials and event communications in collaboration with the Marketing team.
Community & Relationship Management
Build and maintain positive relationships with parents, relocation agents, and external partners.
Represent the school at education fairs, exhibitions, and networking events when necessary.
Provide timely updates and feedback to the Admissions Manager/Head of Admissions on market insights and family feedback.
Administrative & Reporting
Generate reports on inquiries, applications, conversions, and event outcomes.
Ensure compliance with PDPA and school policies in handling personal data.
Responsible for accurate data input, updates, and maintenance in both Customer Relationships Management and Student Information Systems.
Ensure accurate maintenance of all student records and documentation, including passport details, visa status, and residency permits, in accordance with government regulations and school policies.
Manage comprehensive student contract administration (preparation, issuance, signing, and revisions), coordinate annual re-enrolment procedures, oversee student pass applications if applicable, and handle all course withdrawal, transfer, and deferment processes while liaising with Finance Department on contract-related matters.
Support general administrative tasks within the Admissions team.
REQUIREMENTS
Diploma or Bachelor’s degree in Business or related field.
2–4 years of experience in customer service, events coordination, or admissions (preferably in an international school or education setting).
Strong organizational and multitasking skills with attention to detail.
Excellent communication and interpersonal skills, with a customer-focused mindset.
Proficiency in Microsoft Office.
Ability to work occasional evenings and weekends for events.
Adaptable to a fast-paced international school environment.
