Key Responsibilities
Clinic Operations
* Lead and oversee the day-to-day operations of the clinic, ensuring smooth, efficient and patient-centred workflows.
* Coordinate clinic operations across doctors, therapists, patient service executives and support staff.
* Ensure efficient appointment scheduling, patient registration and seamless patient journey management.
* Maintain excellent standards of clinic cleanliness, hygiene, maintenance and operational readiness.
* Oversee clinic inventory, procurement, stock control and consumables management.
* Ensure equipment servicing and operational resources are properly maintained.
* Monitor operational efficiency and continuously identify opportunities for workflow improvements.
* Liaise with vendors, suppliers and internal departments to support clinic operations.
* Ensure all operational activities comply with company standards and regulatory requirements.

* Lead, supervise, coach and inspire a high-performing clinic team.

* Conduct onboarding, orientation and structured training programmes for new employees.

* Manage staff scheduling, attendance, leave planning and manpower deployment.

* Deliver exceptional patient experiences and maintain the highest standards of customer service.
* Build strong, long-term relationships with patients to encourage loyalty and retention.
* Handle patient feedback, complaints and service recovery professionally and empathetically.
* Ensure personalised, ethical and premium patient care throughout every interaction.
* Continuously improve patient satisfaction and service quality.
* Support doctors and therapists in delivering a seamless treatment experience.

Sales & Business Performance
* Drive clinic revenue growth through ethical consultation, excellent service and effective treatment package conversion.
* Work closely with doctors, therapists and patient service executives to achieve clinic sales targets.
* Monitor and analyse clinic KPIs, including:
* Revenue
* Sales conversion
* Customer retention
* Repeat visits
* Productivity
* Appointment utilisation
* Operational efficiency
* Review clinic performance regularly and implement improvement strategies.
* Support marketing campaigns, promotional activities and business development initiatives.
* Prepare daily, weekly and monthly operational and sales reports for Management.

Compliance, PDPA & Governance
* Ensure full compliance with the Personal Data Protection Act (PDPA), Singapore healthcare regulations, workplace safety requirements and all company Standard Operating Procedures (SOPs).
* Safeguard the confidentiality, integrity and security of all patient records, medical information and company data.
* Ensure appropriate user access controls for clinic management systems (e.g. Plato), email accounts, CCTV systems and other operational platforms.
* Monitor and maintain compliance with company policies relating to patient privacy, documentation, information security and record retention.
* Ensure accurate and timely documentation of clinic operations, reports and administrative records.
* Conduct periodic operational, inventory and documentation audits to ensure compliance and operational integrity.
* Promptly identify, investigate and escalate operational, compliance or data security risks.
* Liaise with internal departments, vendors and external stakeholders while maintaining compliance with company policies.
* Support licensing requirements, internal audits and continuous quality improvement initiatives.
* Foster a culture of accountability, confidentiality and regulatory compliance throughout the clinic.

Requirements
* Minimum 5 years of managerial experience within a medical aesthetics, aesthetics, dermatology, plastic surgery, healthcare, beauty, wellness or luxury service environment.
* Proven track record of leading successful teams and consistently achieving strong business and sales performance.
* Strong understanding of aesthetic clinic operations, consultation processes and premium patient service.
* Experience managing clinic KPIs, operational reporting and business performance.
* Strong leadership, coaching and people management skills.
* Excellent organisational, analytical and problem-solving abilities.
* Strong attention to detail and ability to manage multiple priorities.
* Excellent interpersonal and communication skills.
* Good understanding of the Personal Data Protection Act (PDPA) and the importance of patient confidentiality and data governance.
* Experience maintaining confidential patient information and implementing operational controls.
* Proficient in Microsoft Office applications.
* Experience using clinic management software such as Plato will be highly advantageous.
* Proficiency in spoken and written English.
* Proficiency in Mandarin Chinese will be an advantage to communicate effectively with Mandarin-speaking patients and business stakeholders.

* Experience in a medical aesthetics, dermatology or plastic surgery clinic.
* Familiarity with Singapore medical aesthetics industry practices.
* Knowledge of regenerative aesthetics, aesthetic treatments and skincare technologies.
* Familiarity with Rejuran® treatment programmes.
* Experience implementing SOPs, operational improvements and quality assurance initiatives.
* Experience working with regional headquarters or international healthcare organisations.
