Job Description - Clinic Manager

Full-Time | Physiotherapy & Osteopathy Clinic

We are looking for a proactive and hands-on Clinic Manager to oversee the day-to-day operations of our Physiotherapy & Osteopathy clinic. This role is ideal for someone who enjoys working in a fast-paced healthcare environment and takes pride in ensuring both patients and the team receive outstanding support.

About the Role

As our Clinic Manager, you will be responsible for overseeing the smooth running of the clinic, leading the Front of House team, supporting our therapists, and driving operational excellence. You will work closely with the Directors to improve workflows, enhance patient satisfaction, and contribute to the clinic's overall growth.

Key Responsibilities

Clinic Operations

- Oversee the daily operations of the clinic to ensure efficient and seamless service delivery.

- Manage clinic schedules and optimise therapist utilisation.

- Ensure Front of House operations run smoothly each day.

- Maintain high standards of cleanliness, organisation, and presentation throughout the clinic.

- Develop, review and implement clinic SOPs and workflows.

Team Leadership

- Lead, coach and support the Front of House team.

- Conduct onboarding and training for new staff.

- Monitor team performance and provide regular coaching and feedback.

- Foster a positive, collaborative and patient-centred work culture.

Patient Experience

- Ensure every patient receives a warm, professional and personalised experience.

- Handle patient enquiries, concerns and service recovery professionally.

- Monitor patient feedback and implement improvements where necessary.

- Maintain excellent service standards across the clinic.

- Support therapists in improving patient retention and treatment plan adherence.

- Oversee appointment scheduling, blocked bookings and package administration.

- Monitor clinic KPIs and prepare monthly operational reports.

- Lead patient engagement initiatives such as recall, referral and reactivation campaigns.

- Identify opportunities to improve operational efficiency and contribute to business growth.

Administrative Responsibilities

- Manage staff scheduling and leave administration.

- Assist with payroll preparation and HR documentation.

- Coordinate clinic maintenance and supplier relationships.

- Ensure accurate patient records and compliance with clinic policies.

- Support recruitment and onboarding where required.

Requirements

- Minimum 4-5 years' experience in clinic, healthcare, hospitality or operations management.

- Previous leadership or supervisory experience preferred.

- Excellent organisational and time management skills.

- Strong interpersonal and communication abilities.

- Ability to multitask and work well under pressure.

- Proficient in Microsoft Office and clinic management software.

- Positive, proactive and solutions-focused mindset.

Experience in a physiotherapy, osteopathy, chiropractic, specialist clinic or allied healthcare setting will be an advantage.
