TheCommunity Engagement Executive is responsible for supporting Ju Eng Home’scommunity engagement, donor relations, volunteer coordination, group visits,donation coordination, publicity, social media updates and relatedadministrative follow-up.
This roleserves as a key contact point between Ju Eng Home and external stakeholders,including donors, volunteers, corporate partners, schools, religious groups,grassroots organisations, community groups and visitors. The role also supportsJEH’s public image by ensuring professional communication, timely follow-up,accurate records and proper coordination with internal departments.
KeyResponsibilities
1.Community Engagement and Public Relations
Support Ju Eng Home’s community outreach and engagement efforts with donors, volunteers, community partners, corporate groups, schools, religious organisations, grassroots groups and other external stakeholders.
Build and maintain positive working relationships with external partners to support JEH’s mission, services, events and resident welfare activities.
Act as the main coordination point for community-related enquiries, visits, donations, volunteer activities and partnership opportunities.
Assist in promoting JEH’s work, services, events and community impact through approved communication channels.
Support publicity and communication efforts, including simple write-ups, event highlights,newsletters, posters, captions and other communication materials where required.
Ensure all external communication is professional, respectful and aligned with JEH’s image, values and confidentiality requirements.
2.Donation Coordination and Donor Relations
Coordinate donation enquiries from individuals, companies, community groups, religious groups, schools and other organisations.
Manage and coordinate donations-in-kind, cash donations, festive gifts, sponsorships, food items, resident welfare items, equipment and other forms of contribution.
Liaise with internal departments to confirm JEH’s actual needs before accepting donations,especially items that may affect storage, safety, food handling, infection control or resident suitability.
Arrange donation delivery, collection, receipt, distribution and handover to relevant departments.
Ensure proper documentation and tracking of all donations received.
Liaise with Finance/Admin where required to verify donation details, receipts, donor information and acknowledgement requirements.
Follow up with donors in a timely and professional manner.
Maintain good donor relationships and support future donor engagement opportunities.
3.Thank-You Letters and Donor Acknowledgement
Prepare thank-you letters, acknowledgement letters, appreciation notes and donation-related correspondence for donors, sponsors, volunteers and community partners.
Ensure all thank-you letters and acknowledgement records are accurate, properly written and issued in a timely manner.
Verify donation details with the relevant department before preparing acknowledgement letters.
Maintain proper filing of thank-you letters, acknowledgement records, email correspondence and supporting documents.
Assist in preparing donor appreciation messages for approved social media posts or internal reports.
Ensure donor recognition is handled appropriately and in accordance with JEH’s policies, PDPA requirements and confidentiality obligations.
4.Volunteer and Group Visit Coordination
Coordinate volunteer applications, volunteer enquiries, group visits, corporate social responsibility activities, school visits, religious group visits and community service activities.
Liaise with internal departments to plan suitable activities for residents, such as befriending, games, performances, festive celebrations, craft activities, welfare activities and other resident engagement programmes.
Ensure volunteers and visitors are briefed on JEH’s rules, resident safety, infection control requirements, confidentiality, photography restrictions and expected conduct.
Maintain proper records of volunteer attendance, group visit details, activity types, feedback and follow-up actions.
Monitor volunteer and visitor activities during visits where required to ensure activities are conducted safely and respectfully.
Work with Nursing, Operations, Admin and other relevant teams to ensure resident safety and smooth coordination.
Support post-visit follow-up, including appreciation messages, feedback collection and future engagement planning.
5. Eventand Activity Support
Support the planning and coordination of JEH’s community events, festive celebrations, donor events, volunteer activities, appreciation events and outreach programmes.
Assist with event logistics, including venue setup, registration, refreshments, programme flow, visitor management, photography coordination and post-event follow-up.
Work with internal departments to ensure activities are suitable for residents and aligned with operational requirements.
Assist in preparing event materials, invitation messages, posters, simple programme sheets, name lists and other related documents.
Support the coordination of donations and sponsorships linked to events and resident welfare activities.
Ensure proper documentation of events for record, reporting, audit and publicity purposes.
6. SocialMedia and Publicity Updates
Support updates on JEH’s approved social media platforms and communication channels.
Prepare simple captions, write-ups, event highlights, donor appreciation posts, volunteer activity updates and community engagement content.
Assist in taking or coordinating photos during approved events and activities.
Ensure all social media posts and publicity materials are appropriate, respectful and aligned with JEH’s image.
Obtain necessary internal clearance before publishing any photos, names, resident-related information, donor information or sensitive content.
Ensure compliance with PDPA, confidentiality requirements, consent requirements and JEH’s internal approval process before posting.
Maintain proper records of social media posts, publicity materials, photos and approved content where required.
Support the development of simple publicity materials such as posters, newsletters, event summaries, appreciation messages and community updates.
7. DataRecording, Tracking and Reporting
Maintain accurate and updated records of donors, donations, volunteers, group visits, community partners, sponsorships, activities, events and follow-up actions.
Update donation trackers, volunteer databases, group visit schedules, activity records, thank-you letter records and engagement logs.
Ensure records are properly maintained for audit, governance, reporting and future reference.
Prepare simple monthly, quarterly or ad-hoc reports on donation activities, volunteer involvement, community engagement and social media updates.
Ensure donor and volunteer information is kept confidential and handled in accordance with PDPA requirements.
Support management reporting by providing accurate data and summaries when required.
Ensure proper filing of emails, letters, forms, photos, event records and supporting documents.
8.Internal Coordination and Compliance
Work closely with Finance, Admin, Nursing, Operations, HR and other departments to ensure proper coordination of donations, volunteer activities, resident programmes and external visits.
Ensure all community engagement activities comply with JEH’s policies, approval processes, PDPA requirements, infection control measures, safety requirements and confidentiality obligations.
Escalate sensitive matters, donor concerns, media-related matters, resident-related issues or unusual requests to the CEO or Management in a timely manner.
Ensure donations and sponsorships are managed transparently and properly recorded.
Support audit and governance requirements by maintaining proper documentation and records.
Perform any other duties as assigned by the CEO or Management.
Requirements
Educationand Experience
Diploma or Degree in Mass Communication, Public Relations, Marketing, Business Administration, Social Service, Event Management or related discipline.
Prior experience in community engagement, donor relations, volunteer coordination, events, social service, healthcare, eldercare, charity, non-profit or related sectors will be an advantage.
Fresh graduates with good communication skills, strong initiative and interest in community work may also be considered.
Skillsand Competencies
Good interpersonal and communication skills.
Able to communicate professionally with donors, volunteers, visitors, community partners and internal departments.
Good written English skills for preparing emails, thank-you letters, captions, write-ups and simple reports.
Able to converse in Mandarin will be an advantage, due to interaction with Mandarin-speaking donors, volunteers and community groups.
Organised, responsible and able to follow up on multiple matters independently.
Comfortable with basic administrative work, data entry, filing, tracking and coordination duties.
Proficient in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook.
Basic knowledge of social media posting, simple design tools, photography or publicity work will be an advantage.
Able to handle confidential information with maturity and discretion.
Good awareness of PDPA, consent, confidentiality and appropriate handling of resident-related information.
