Key Responsibilities & Technical Duties
Ø Document Lifecycle Management: Manage the end-to-end process of project documents including registration tracking, revision control, distribution, and final archiving.
Ø Client Focal Point &Coordination:
Act as the primary point of contact for all document and correspondence-related matters between the project team (China& Singapore offices) and the Client team in Singapore.
Facilitate and lead discussions to resolve queries, clarify requirements, and align on document standards and submittal processes.
Ø EDMS Administration: Operate and administer the project's Electronic Document Management System
Ø Procedural Compliance: Implement and enforce the project's Document Control Procedure, ensuring the compliance with Client specific standards and requirements.
Ø Transmittal & Correspondence Management: Prepare and issue all formal transmittals to the client and otherparties. Track, monitor, and manage all incoming and outgoing correspondence.
Ø Reporting & Status Tracking: Generate and distribute regular document status reports, dashboards, and metrics for project management and the client.
3. Preliminary Qualifications &Technical Skills
Ø Experience: Minimum of 3 years of proven experience as a Document Controller,preferably in the oil and gas industry.
Ø Sector Experience: Direct and recent experience working on offshore oil and gas projects is essential.
Ø Language Skills: Fluent in English(both written and spoken) is mandatory at a professional working level. This is critical for effective communication with the client in Singapore and internal teams.
Ø EDMS Proficiency: High proficiency in at least one major EDMS platform
Ø Technical Knowledge: Basic understanding of engineering document types, workflows, and the overall project lifecycle.
