Job Description - Engineering Administrator (Hotel)

An exciting opportunity has arrived at The Garcha Group, Singapore’s boutique hotel group currently with the following hotels:

- Maxwell Reserve, Autograph Collection Hotel (Marriott);

- Duxton Reserve, Autograph Collection Hotel (Marriott);

- The Vagabond Club, a Tribute Portfolio Hotel (Marriott);

- The Serangoon Club, a Tribute Portfolio Hotel (Marriott).

Restaurants & Bars:

· Yellow Pot, Anouska's (Duxton Reserve)

The Engineering Administrator supports the hotel’s Engineering Department by providing administrative, coordination, and documentation support to ensure efficient maintenance operations, compliance, and effective communication. The role acts as a liaison between engineering, operations, suppliers, and management.

Key Responsibilities:

Administrative Support

- Provide day-to-day administrative support to the Engineering Manager and engineering team.

- Prepare, maintain, and control engineering documents, logs, reports, and records.

- Manage correspondence, filing systems, and departmental documentation.

- Maintenance Coordination

- Log, track, and follow up on maintenance requests and work orders using the hotel’s maintenance management system.

- Coordinate preventive maintenance schedules and ensure timely completion.

- Monitor service requests from guest rooms, public areas, and back-of-house.

Procurement & Inventory

- Prepare purchase requisitions, purchase orders, and track approvals in line with company policies.

- Maintain records of spare parts, tools, and consumables inventory.

- Coordinate with suppliers and contractors regarding quotations, deliveries, and service schedules.

- Compliance & Reporting

- Maintain statutory records related to safety, fire systems, elevators, boilers, chillers, and other engineering assets.

- Assist in preparing reports for audits, inspections, and management reviews.

- Ensure documentation is up to date for licenses, permits, warranties, and contracts.

Communication & Coordination

- Coordinate with Front Office, Housekeeping, and other departments on maintenance-related issues.

- Schedule meetings, prepare agendas, and record minutes for the engineering department.

- Assist in tracking contractor work, service agreements, and maintenance contracts.
- Any other duties/tasks as requested by management.
