Job Description - Executive, Corporate and Community Relations

The Executive, Corporate and Community Relations is responsible for managing the Society’s volunteer programmes and providing administrative support for fundraising and stakeholder engagement. This role ensures the seamless execution of internal resident events and maintains the integrity of donor records through meticulous administrative stewardship.

Core Responsibilities:

Fundraising Support

  • Donor Administration: Update the CRM database, processes tax & non-tax-deductible receipts, maintains donor records, and ensures data accuracy and compliance.
  • Fundraising Operations: Support digital and peer-to-peer fundraising campaigns, and manages donation boxes or digital donation terminals.
  • Communications Support: Draft thank-you letters, prepare basic promotional materials, and handles general public enquiries related to fundraising.
  • Event Logistics: Coordinate volunteers, prepares registration materials, sets up registration desks, and supports onsite event operations.

Volunteer Management

  • Recruitment & Retention: Be the first point of contact for all volunteer inquiries; conduct interviews and orientations for new volunteers.
  • Matching & Scheduling: Coordinate and schedule volunteer activities and ensure adequate support for resident’s activities and outings. Registering of volunteers in Visitor’s Management System for their visit to the home.
  • Engagement: Organize appreciation sessions and training workshops to keep volunteers motivated and skilled in eldercare basics.
  • Internal Events Management
  • Program Planning: For Residents - Conceptualize and execute monthly birthday celebrations, festive gatherings (CNY, Hari Raya, Christmas), and resident outings.
  • Logistics: Manage event budgets, vendor bookings, and site setup within the home to ensure a safe and festive environment for residents.
  • Collaboration: Work closely with the nursing and therapy teams to ensure activities are physically appropriate and medically safe for residents.

Stakeholder Outreach

  • Community Liaison: Build and maintain relationships with schools, grassroots organizations, and religious groups for collaborative programs.
  • Site Visits: Host and conduct tours for potential corporate partners or community groups to showcase the home’s impact.
  • In-Kind Donations: Manage the intake of non-monetary donations (e.g., adult diapers, food items) and coordinate with the store for distribution.

Administration & Reporting

  • Database Management: Ensure the donor and volunteer database is accurate, updated, and compliant with PDPA (Personal Data Protection Act) regulations.
  • Regulatory Submission: Assist in the preparation of annual reports and mandatory submissions to the Commissioner of Charities and NCSS.

Others

  • Provide administrative support to the department.
  • Support any other ad-hoc duties as assigned.

Job Requirements

  • Experience: Minimum 2 years in administrative coordination, event management, or volunteer management.
  • Tech Savvy: Proficient in Microsoft Office (Excel is a must) and experience with CRM or Donor Management software (e.g., NVPC’s Giving.sg or internal databases).
  • Communication: Strong command of English; ability to speak Mandarin or local dialects is highly preferred to communicate effectively with residents. 
  • Attention to Detail: Demonstrate a meticulous approach to administrative duties, recognizing that the accurate and timely issuance of tax-deductible receipts is critical to maintaining donor confidence and the Society’s professional reputation.
  • Adaptability & Commitment: Demonstrate a willingness to maintain a flexible work schedule, including the availability to support key initiatives, community events, and resident programmes on weekends and public holidays as operationally required.
  • Compassionate: You genuinely enjoy interacting with the elderly and have the patience to handle diverse personality types.
