About Knoxtech Solutions Pte Ltd
Knoxtech Solutions Pte Ltd is a rapidly expanding Singapore technology company specialising in advanced border control, biometric identification, facial recognition and security automation solutions. With operations supporting international government and enterprise projects, we are seeking an energetic, professional and highly organised Executive Office Manager to join our growing team.
This is more than an administrative role. You will work closely with Management, coordinate international business activities, support overseas projects and help maintain a professional corporate environment.
Key Responsibilities
Executive Administration
Provide comprehensive administrative and executive support to Management.
Manage calendars, meetings, travel arrangements and business appointments.
Prepare reports, presentations, business proposals and corporate correspondence.
Maintain proper documentation, filing systems and confidential records.
Coordinate communication with overseas offices, international clients and business partners.
Office & Facilities Management
Oversee the smooth day-to-day operations of the corporate office.
Liaise with landlords, building management, vendors and contractors.
Manage office facilities, meeting rooms, company assets and inventory.
Ensure office supplies and administrative resources are well maintained.
International Business Support
Build and maintain strong professional relationships with international clients, government agencies and business partners.
Coordinate customer visits, corporate events and overseas delegations.
Assist Management during meetings, presentations and business negotiations.
Travel overseas when required to support exhibitions, project coordination, client meetings and international business development.
HR Administration & Compliance
Maintain employee records and administrative documentation.
Ensure proper document control, confidentiality and compliance with company policies and Singapore regulations.
Assist with HR administrative matters and internal office procedures
Requirements
Singapore Citizen or Singapore Permanent Resident.
Diploma or Degree in Business Administration, Office Management or a related discipline.
Minimum 3–5 years of relevant experience in office management, executive administration or corporate support.
Experience in an SME or technology company will be an advantage.
Excellent communication, interpersonal and organisational skills.
Outgoing, confident and comfortable interacting with international clients and senior executives.
Able to travel overseas when required.
Proficient in Microsoft Outlook, Teams, Word, Excel, PowerPoint and SharePoint.
Highly organised, resourceful, proactive and able to work independently.
Professional appearance with strong customer service orientation.
