Job Description - F&B Admin Executive

Key Responsibilities

InterdepartmentalCoordination

  • Serve as the primary administrative liaison between Culinary, Food & Beverage Operations, and other hotel departments
  • Facilitate timely communication and operational coordination to support daily business needs
  • Coordinate operational follow-ups and ensure information is properly disseminated to relevant stakeholders

AdministrativeSupport to DOFB & Executive Chef

  • Manage calendars, appointments, and scheduling priorities for the Director of Food & Beverage and Executive Chef
  • Coordinate meetings, leadership briefings, and departmental communications
  • Prepare meeting agendas, minutes, and action plans
  • Assist with scheduling platforms such as SharePoint
  • Support rostering and workforce management systems
  • Coordinate travel arrangements, reservations, and business itineraries where required
  • Prepare correspondence, operational notices, reports, and presentations on behalf of department leadership
  • Support ad hoc operational projects and assignments as directed by the Director of Food & Beverage or Executive Chef

Human Resources& Training Administration

  • Support onboarding administration and documentation for new F&B and Culinary team members
  • Maintain updated training records, certifications, attendance tracking, and leave documentation
  • Coordinate training schedules and maintain departmental training matrices
  • Assist with probation reviews, performance appraisal administration, and HR documentation follow-up
  • Support recruitment coordination including interview scheduling and candidate communication

Operational& Brand Standards Support

  • Assist leadership in tracking outlet audits and guest feedback trends
  • Maintain records relating to brand standards compliance and quality assurance initiatives
  • Support preparation for corporate audits, inspections, and ownership reviews
  • Track maintenance requests and operational follow-ups across F&B outlets and kitchens
  • Assist in ensuring operational readiness for promotions, seasonal campaigns, and special events

Requirement

  • Previous experience in hospitality administration, culinary administration, or F&B operations preferred
  • Strong organizational and administrative skills with exceptional attention to detail
  • Proficiency in Microsoft Office applications and hospitality management systems
  • Knowledge of food safety regulations, HACCP principles, and operational compliance standards
  • Strong analytical and reporting capabilities
  • Excellent communication and interpersonal skills
  • Ability to multitask and manage priorities in a fast-paced hospitality environment
  • Professional, proactive, and service-oriented mindset
  • Ability to maintain confidentiality and professionalism at all times
