Job Description - Front Desk Administrative Assistant

Our client is seeking a proactive, hands-on, and highly motivated Front Desk Administrative Assistant to support the daily operations of the business.


The ideal candidate is organized, resourceful, enjoys multitasking, and takes initiative in a fast-paced environment. This role is responsible for providing administrative support, managing front desk operations, and ensuring the smooth running of the office.


📍 Location: Tuas (Company transport provided from Joo Koon MRT)

Key Responsibilities

Administrative Support

  • Provide day-to-day administrative support to the team and management.
  • Manage correspondence, filing systems, records, and documentation.
  • Prepare reports, presentations, meeting minutes, and other business documents.
  • Schedule meetings, coordinate appointments, and manage meeting room bookings.
  • Assist with data entry, invoice processing, and general administrative duties.
  • Maintain office supplies, pantry inventory, and ensure the office is well-stocked and organized.
  • Support internal documentation and maintain accurate administrative records.

Reception & Front Desk

  • Serve as the first point of contact for visitors, clients, and vendors.
  • Greet and assist visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls and emails appropriately.
  • Handle incoming and outgoing mail, parcels, and courier arrangements.
  • Coordinate visitor registration and meeting room arrangements.
  • Ensure the reception area and common areas are tidy, presentable, and welcoming.

Office & Operational Support

  • Liaise with vendors, suppliers, contractors, and service providers on office-related matters.
  • Coordinate office maintenance, repairs, and facility-related requests.
  • Assist with procurement of office supplies and general operational requirements.
  • Support company activities, internal meetings, and other administrative logistics when required.
  • Perform other ad hoc administrative and operational duties assigned by management.

Requirements

  • Minimum Diploma or equivalent qualification.
  • Prior experience in Administration, Reception, Customer Service, or Office Support is preferred.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal skills.
  • Professional, friendly, and customer-oriented attitude.
  • Able to work independently and as part of a team.
  • Hands-on, resourceful, and willing to take ownership of responsibilities.
  • Highly motivated and able to work in a fast-paced environment.
  • Comfortable coordinating with multiple stakeholders and vendors.
  • Able to work in Tuas (Company transport provided from Joo Koon MRT).

Preferred Qualities

  • Positive attitude with a willingness to learn.
  • Strong attention to detail and problem-solving skills.
  • Able to adapt to changing priorities and business needs.
  • Good time management and organizational skills.
  • Previous experience in front desk or reception duties is an advantage.
