Job Summary

We are seeking a highly organized and detail-oriented Secretary to provide administrative support to our team. The successful candidate will handle various office tasks, maintain schedules, manage communications, and ensure smooth day-to-day office operations.

Responsibilities

  • Manage and maintain executives’ schedules, appointments, and meetings to optimize time and productivity
  • Professionally answer phone calls, emails, and other correspondence to facilitate effective communication
  • Prepare, organize, and maintain documents, reports, and records to ensure accurate information management
  • Coordinate meetings, take minutes, and follow up on action items to support team collaboration and task completion
  • Support office operations by performing general administrative duties to maintain efficient workflow

Required competencies and certifications

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) to produce and manage office documents and communications
  • Excellent written and verbal communication skills to convey information clearly and professionally
  • Strong organizational and time-management abilities to prioritize tasks and meet deadlines
  • Ability to multitask and prioritize work effectively in a dynamic office environment
  • Professional attitude and strong attention to detail to ensure accuracy and reliability

Preferred competencies and qualifications

  • Diploma or equivalent qualification preferred as a foundation for administrative responsibilities
  • Experience with office management systems and procedures to enhance operational efficiency
  • Basic bookkeeping or administrative support experience to assist with financial record-keeping
  • Ability to maintain confidentiality and professionalism in handling sensitive information
