Payroll Processing
• Process monthly payroll accurately and on time for all employees, including full-time, part-time, and contract staff.
• Calculate salaries, overtime, allowances, deductions, and bonuses in accordance with employment contracts and company policy.
• Manage CPF contributions and submit monthly CPF returns via CPF e-Submit on schedule.
• Process statutory leave payouts including annual leave encashment, maternity, paternity, and childcare leave claims.
• Prepare and issue pay slips to all employees each month.
• Handle year-end IR8A and IRAS auto-inclusion submissions accurately and on time.
• Process ad hoc payroll adjustments such as salary corrections, final settlements, and off-cycle payments.
• Maintain and reconcile payroll records and reports each payroll cycle.
• Support Work Pass applications, renewals, and cancellations (EP, S Pass, Work Permit) via MOM's EP Online portal.
• Ensure payroll and HR practices comply with the Employment Act, MOM regulations, and company policies.
Employee Benefits Administration
• Administer group insurance, medical benefits, and other employee benefit program.
• Process medical claims, reimbursements, and insurance portal registrations for new and existing employees.
• Manage annual leave, medical leave, and other staff entitlements in the HR system.
• Handle employee queries related to payroll, benefits, leave balances, and CPF matters promptly and professionally.
HR Administration & Records Management
• Maintain accurate and up-to-date employee records in the HR system and personnel files.
• Prepare employment contracts, confirmation letters, increment letters, and other HR correspondence.
• Support the onboarding and offboarding process — prepare offer letters, coordinate first-day logistics, and process leavers' final pay.
• Manage leave administration and update attendance records as required.
• Assist with the preparation of HR reports, headcount summaries, and management dashboards.
• Support the HR Manager with ad hoc HR projects, audits, and process improvement initiatives.
• Diploma or Degree in Human Resource Management, Business Administration, or a related field.
• Minimum 2–5 years of hands-on experience in payroll processing and HR administration in Singapore.
• Strong working knowledge of Singapore employment legislation, CPF, IRAS submissions, MOM regulations, and the Employment Act.
• Experience with HR and payroll software Justlogin
• Proficiency in Microsoft Excel — able to prepare payroll summaries, reconciliation sheets, and HR reports.
• Familiarity with Work Pass administration (EP, S Pass, Work Permit) via MOM portals is an advantage.
• High level of accuracy, discretion, and confidentiality in handling sensitive employee information.
• Strong organization skills with the ability to manage multiple deadlines simultaneously.
• Good interpersonal and communication skills — able to liaise effectively with employees, management, and external vendors.
• Ability to work independently and take initiative with minimal supervision.
