The Management Executive supports corporate administration, governance, sustainability, and regional business operations of the EDMI Group across multiple countries. The role acts as a key liaison between regional entities and the parent company, Osaki Electric Co.,Ltd. (Japan), ensuring effective communication, operational alignment, regulatory compliance, and execution of group-wide corporate initiatives.
This role involves close coordination with senior management, overseas subsidiaries, and Japanese stakeholders on governance matters, strategic projects, sustainability reporting, corporate events, and regional business operations. As key business discussions and documentation are conducted in Japanese, professional proficiency in Japanese is essential to ensure accurate communication and effective execution of responsibilities.
Key Responsibilities
Regional Corporate Governance &Administration
Maintain corporate governance records across regional entities, including company registration details, capital structure, Delegation of Authority (DOA), statutory records, and material agreements.
Review and update corporate policies, SOPs, governance frameworks, and internal control documentation.
Coordinate annual group insurance renewals across jurisdictions to ensure continuous risk coverage.
Consolidate and reconcile corporate expenditure, including corporate credit card transactions and finance reporting coordination.
Regional Business Operations
Act as the primary coordination point between EDMI regional entities and Osaki headquarters for management reporting and strategic initiatives.
Coordinate executive meetings, regional schedules, and cross-border business activities involving multiple stakeholders.
Support visiting executives and business delegations, including travel, accommodation, logistics, and programme coordination.
Prepare executive briefing materials, presentations, and management reports.
Support communication and coordination with Japanese expatriates and headquarters functions.
Corporate Events & Strategic Projects
Lead coordination of regional corporate conferences and management meetings, including logistics, vendor management, budgeting, and on-site execution.
Support execution of the Osaki Global Strategy Meeting (OGSM), including materials preparation and stakeholder coordination.
Assist in exhibitions, corporate branding activities, and office relocation projects.
Sustainability & Corporate Communications
Support preparation of the Group Sustainability Report through data collection, validation, and documentation review.
Provide secretariat support for sustainability committees, including agendas, minutes, and follow-up actions.
Develop and distribute internal corporate communications, including announcements, newsletters, and eDMs.
Prepare bilingual (English and Japanese) corporate articles and internal publications.
Compliance, Quality & Risk Management
Support ISO certification activities, including audit documentation, internal audits, and corrective action tracking.
Conduct pre-audit preparation to ensure compliance with quality management systems.
Support Quality Month initiatives and inventory verification exercises.
Business Intelligence & Reporting
Consolidate regional sales and operational data by country and product category for management reporting.
Prepare dashboards, reports, and presentations for senior leadership decision-making.
Ensure accuracy, integrity, and confidentiality of corporate data and records.
Key Requirements
Bachelor’s degree in law (LLB), Business Administration, Corporate Management, International Business, or related discipline.
Minimum 3 years of experience in corporate administration, governance, business operations, executive support, or project coordination in a multinational environment.
Strong understanding of corporate governance, compliance, documentation control, and regional operations.
Experience supporting regional projects, executive coordination, or corporate events.
Exposure to sustainability reporting, ISO systems, or quality management is an advantage.
Strong analytical, organisational, communication, and stakeholder management skills.
Ability to manage multiple priorities in a fast-paced, multicultural environment.
Professional proficiency in English and Japanese (spoken and written).
Language Requirement
Professional proficiency in English and Japanese is required to communicate with Japan headquarters and senior management; prepare and translate corporate documents, reports, and presentations; coordinate with Japanese-speaking executives and stakeholders; and ensure accurate cross-border communication and execution of regional initiatives.
