Job Duties:
Administrative Duties:
- Renewing corporate mobile lines and managing associated contracts.
- Addressing administrative requests and inquiries promptly and accurately, prioritizing tasks effectively amidst changing demands.
- Organizing files for archiving according to company protocols
- Facilitating file retrieval when needed.
- Facilitate the processing of vendor invoices by submitting them to finance and ensuring prompt payments.
- Handle approval forms by filing them, obtaining necessary signatures, distributing them to staff, and organizing them systematically.
- Coordinate arrangements for visiting overseas colleagues/new hires with the Office and events assistant, ensuring offices are prepared and stocked with necessary supplies.
- Manage stationery orders to maintain adequate supplies for daily operations.
- Supporting Office Manager for various administrative tasks
HR support
- Facilitate the recruitment process by arranging interviews, coordinating assessments, and preparing interview materials.
- Manage employee records, including personnel files, attendance records, and performance evaluations.
- Support onboarding and offboarding processes for new hires and departing employees, conducting orientation sessions and exit interviews.
- Assist in the development and implementation of HR policies and procedures.
- Coordinate employee training and development initiatives, scheduling sessions and tracking participation.
- Serve as a secondary point of contact for employee inquiries regarding HR policies, benefits, and related matters.
- Prepare draft government claims for childcare leave, maternity leave, and national service leave for review and submission by the Office Manager.
- Assist in planning and executing employee engagement activities, including team-building events, recognition programs, and surveys.
- Participate Career fairs and office events
