Job Description - Office Manager & Personal Assistant HNW
ABOUT THE ROLE
This is a dual-function role combining day-to-day office management with close personal assistant support to the Principal. The successful candidate will serve as the operational backbone of the Singapore office – keeping administration running smoothly, managing the Principal's time effectively, and playing an active supporting role in the capital allocation process.
The scope is deliberately wide: from preparing quarterly portfolio reports and coordinating with custodians and external service providers, to managing calendars, travel, and confidential correspondence. This role suits an exceptionally organised, discreet, and proactive professional who is equally comfortable moving between substantive investment-related tasks and general executive support within the same working day.
Key Responsibilities
A. Executive & Personal Assistant Support
Manage and optimise the Principal's calendar, travel arrangements, and meeting schedule across international time zones (Singapore, Switzerland, North America)
Draft and proof investor correspondence, meeting briefs, and confidential communications on behalf of the Principal
Screen and prioritise incoming communications; manage follow-up actions and ensure nothing falls through the cracks
Coordinate due diligence logistics: information requests, counterparty follow-ups, and version-controlled document repositories
Organise investor meetings, roadshows, and firm events including all venue, travel, and materials logistics
Handle general correspondence (allgemeine Korrespondenz) in English and German across all channels – email, letter, and third-party platforms
Manage personal and professional matters with absolute discretion
B. Investment Process & Portfolio Administration
Compile the quarterly consolidated portfolio update: market prices, bear/base case intrinsic values, IRRs, income yields, fundamental drivers, portfolio roles, and jurisdiction/geography data across all positions, together with period-on-period performance analyses
Maintain and continuously update the inventory of investigated assets and equities: track research status, valuation estimates, and investment thesis for each name on the watchlist
Compile and maintain the firm's knowledge inventory: a structured register of skills, industry know-how, business concepts, value propositions, and geographical market knowledge accumulated through the investment research process
Maintain and reconcile portfolio records across custodians (OKB, Interactive Brokers, DBS) in Singapore and Switzerland
Support the Investment Research Analyst in compiling research packs, financial data downloads, DCF model inputs, and presentation materials
Maintain the CRM and pipeline tracker: log investment ideas, track due diligence status, and flag follow-up actions
Coordinate with external service providers: lawyers, auditors, fund administrators, and tax advisors in Singapore and Switzerland
Monitor the compliance and regulatory calendar; flag upcoming filing deadlines to the Principal
Maintain the investment documentation library: investment memoranda, valuation models, custodian statements, and correspondence
C. Office Administration & Financial Operations
Manage all Singapore office systems, supplier contracts, IT liaison, and facilities
Maintain accurate filing systems (physical and digital) for legal, financial, tax, and operational documents across Singapore and Swiss holding structures
Oversee bookkeeping input, expense management, and invoice processing in liaison with the external accountant
Prepare and reconcile monthly management accounts for internal review
Manage payment transactions: instruct and track all outgoing payments across Singapore and Swiss bank accounts, verify counterparty details, and maintain a complete payment register
Support tax administration, including record-keeping relevant to Singapore/Switzerland asset allocation and withholding tax treatment
Lead all preparatory work for year-end accounting: collate and organise financial records, reconcile accounts, prepare supporting schedules, and liaise with the external auditor and accountant to ensure a clean and timely close
Coordinate all statutory and regulatory filings for company, including ACRA annual return, MAS reporting obligations (Variable Capital Company / family office exemption maintenance), and any other Singapore regulatory requirements; maintain a forward-looking filing calendar to ensure no deadlines are missed
Person Specification
Essential
Minimum 4 years' experience in a combined office management / PA role, ideally within a family office, asset management firm, or professional services environment
Exceptional written and verbal English; additional German a significant advantage given the principal's Swiss connection
Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); comfort working with AI productivity tools (Claude, Gemini, Google NotebookLM) and with financial data and investment documents
Strong numeracy: able to compile and cross-check portfolio data, reconcile custodian statements, and work with DCF model outputs without error
Highly organised, detail-oriented, and able to manage multiple priorities in a lean, high-trust environment with limited supervision
Absolute discretion and professional integrity – this is a requirement, not a preference
Based in Singapore; right to work in Singapore required
Desirable
Prior experience in a single-family office or supporting a UHNW principal directly
Familiarity with value investing concepts, financial statement analysis, or portfolio reporting
Experience with multi-custodian portfolio reconciliation (Interactive Brokers, DBS, or similar)
