Job Description - Patient Services Assistant (Inpatient Wards)

Responsibilities and Duties:

1. Administrative Support:

  • Serve as receptionist and give information to patients, visitors and other health care team members.
  • Assist in patient admission, transfer and discharge process by preparing files and necessary documents.
  • Order meals for staff.
  • Book ambulance for elective cases such as for discharge, external follow-up appointments.
  • Distribute and collect feedback forms from patients and relatives.
  • Retrieve medical records from Medical Record Office.
  • Record and type the ward meeting minutes.
  • Prepare and keep current logs, files and schedules pertaining to the operations of the ward.
  • Maintain appropriate patient data e.g. admission, discharge and transfer information.
  • Perform periodic data entry of patient’s discharges.
  • Billing of patients’ procedure charges in the ward.

2. Despatch functions

  • Despatch of discharge documents e.g. discharge summary forms, charge forms to Finance Division.
  • Despatch of specimens to the collection point.
  • File discharge notes and despatch to Medical Record office.

3. Inventory

  • Update quality of specified equipment on a regular basis. Report any discrepancy to staff in charge.
  • Participate in linen inventory count by Support Service Department on a 6 monthly basis.
  • Assist to order and maintain stock and consumable inventory weekly.
  • Check and order laboratory specimen containers and top up regularly.
  • Order and maintain necessary stationery supplies for the wards.
  • Maintain patient care forms and replace updated copies as and when necessary.

4. Patient Care Support

  • Make appointment for internal and external services e.g. Dietician, Podiatrist, MDRP, Psychogeratric etc.
  • Co-ordinate with staff nurse and family, regarding patient’s upcoming TCUs, transport arrangement and payment.
  • Co-ordinate with staff nurse regarding changes in TCUs, new TCU (referrals), diagnostic procedure etc.
  • Co-ordinate with staff nurse and Medical Social Worker regarding special requirements e.g. volunteers.
  • Assist doctors with simple/standard referral letters/forms e.g. Ortho, HNF external services.

Job Requirements:

• Diploma in any Business-related discipline.

• Minimum 1-2 years of relevant experience especially in healthcare sector.

• Able to manage high-volume activities and handle data confidentiality.

• Able to work under tight timeline and respond to changing priorities.

• IT savvy and comfortable with the use of multiple clinical systems.

• Organised, meticulous and proactive.

• A team player with good interpersonal skills
