ThePersonal Assistant will provide comprehensive personal, administrative, andlifestyle support to the Directors, ensuring seamless management of bothprofessional and personal affairs. This role requires absolute discretion,flexibility, and the ability to anticipate needs in a fast-paced, high-demandenvironment.
APersonal Assistant in this context acts as a trusted right-hand and liaison,managing day-to-day operations, coordinating complex activities, and supportingthe principal’s business, household, and lifestyle requirements.
Key Responsibilities
1. Calendar & Schedule Management
Coordinate appointments, meetings, and personal engagements
Prioritize and resolve scheduling conflicts
2. Travel & Lifestyle Coordination
Arrange detailed domestic and international travel (flights, visas, hotels, transfers)
Plan itineraries and coordinate travel and logistic arrangements
3. Personal & Household Management
Coordinate household staff (ie helpers)
Oversee maintenance of residences and properties
Manage personal errands, shopping, and gift sourcing
Support family-related arrangements and activities
4. Business & Administrative Support
Prepare correspondence, reports, and documentation
Handle emails, calls, and communication on behalf of the principal
Attend meetings, take minutes, and follow up on action items
Liaise with business partners, advisors, and stakeholders
5. Event & Social Planning
Organize private and corporate events
Coordinate vendors, venues, and guest lists
6. Financial & Asset Coordination
Assist with expense tracking, bill payments, and basic budgeting
Coordinate with accountants, lawyers, and wealth managers
Support portfolio or asset-related administrative tasks, liaise with private bankers accordingly
7. Manage Filings:
· Prepare and submit accurate personal tax returnsvia the IRAS myTax Portal ahead of statutory deadlines.
Consolidate Data: Gather and organize financial documents, including employment statements (IR8A), rental income, and global investment portfolios.
Optimize Deductions: Identify and apply legitimate tax reliefs, rebates, and optimization strategies.
Audit & Liaison: Act as the primary point of contact for IRAS correspondence, resolving queries and checking Notices of Assessment.
Secure Records: Maintain strictly confidential, well-organized digital archives of all financial records.
8. Confidentiality & Risk Management
Handle highly sensitive personal and business information with strict confidentiality
Ensure privacy, discretion, and professionalism at all times
Respond quickly to urgent issues and last-minute changes
Key Requirements / Qualifications
Minimum 3–5 years experience supporting executives or HNW individuals
Experience in private households, family offices, or luxury service environments preferred
Strong proficiency in Microsoft Office, calendar management, and communication tools
Ability to manage multiple priorities under pressure
