Job Description

The Personal Assistant provides administrative and organizational support to Founder | Adviser. He / She will manage schedules, coordinate travel arrangements, handle communications, and prepare documents or reports. He / She is expected to maintain confidentiality, prioritize tasks effectively, and act as a reliable point of contact for both internal and external stakeholders. 

JOB RESPONSIBILITIES

External Stakeholder & Relationship Management

  • Support Founder | Adviser to outreach, establish and maintain strong relationships with specific group of key stakeholders
  • Coordinate stakeholder engagement activities, including meetings, networking initiatives, and institutional visits for Founder | Adviser to promote Montfort Care to corporates, family office, foundations and individual donors
  • Support Founder | Adviser in his representation at external events and ensure alignment of content with the CEO if public speaking is required
  • Organise home visits to Montfort Care clients for Founder | Adviser to gather and understand current and emerging issues. Summarize feedback to provide insights and guidance to the CEO for service development

Internal Stakeholder & Relationship Management

  • Organise fireside chats or group work with social workers (employees) in Montfort Care to connect and share social work ethos and good practices

Facilitate Study Trips 

  • Organise and coordinate study trips to countries known for excellent social work practice
  • Draft report on the findings and provide to CEO / CSW

Administrative Tasks 

  • Travel coordination - Arrange flights, accommodations, and transportation, while preparing itineraries and handling last-minute changes
  • Maintain and update schedules, coordinate meetings, and ensure deadlines are met
  • Organize agendas, prepare briefing materials, and record meeting minutes for follow-up actions
  • Draft, edit, and proofread reports, presentations, and official documents You will be assigned as a manpower resource at a designated program/centre estimated 1-2 days per week. This is to ensure you are familiar and understands the front line work and get to know clients. This is critical for the Personal Assistant role which needs to connect with social workers, programme workers, clients and partners.

You may be assigned to support other C suite management personnel from time to time.

Qualification

  • Tertiary qualification in a relevant field (e.g. Business Administration, Public Policy, Communications) preferred

Relevant Experience

  • 8 to 10 years of relevant experience in executive support, secretariat, or project coordination roles
