Job Description - Personal Assistant & Administrative Executive

Personal Secretary

Job Summary

We are looking for a reliable and highly organised Personal Secretary to provide administrative and scheduling support. The role requires strong calendar management, attention to detail, confidentiality, and the ability to coordinate daily office matters efficiently.

Key Responsibilities

Calendar & Schedule Management

  • Manage and coordinate daily, weekly, and monthly calendars.
  • Schedule meetings, appointments, calls, and reminders.
  • Prioritise appointments and ensure all parties are updated on changes.
  • Prepare meeting agendas, documents, and follow-up notes where required.
  • Coordinate travel arrangements, transport, accommodation, and itineraries when needed.

Office Administration

  • Handle general office administration and day-to-day operational support.
  • Maintain filing systems, records, documents, and office supplies.
  • Draft, format, and organise correspondence, emails, reports, and documents.
  • Liaise with internal teams, external vendors, clients, and service providers.
  • Assist with invoice tracking, payment follow-ups, and basic administrative records.
  • Support office events, meetings, and visitor arrangements.

Personal & Executive Support

  • Act as the main point of contact for scheduling and administrative matters.
  • Handle confidential information with professionalism and discretion.
  • Assist with personal errands or ad hoc tasks when required.
  • Ensure smooth communication and follow-through on pending matters.

Requirements

  • Prior experience as a Personal Secretary, Executive Assistant, Admin Executive, or similar role.
  • Strong organisational and time-management skills.
  • Proficient in Microsoft Office, Google Calendar, Gmail/Outlook, and basic document preparation.
  • Good written and spoken English.
  • Able to multitask and work independently.
  • Detail-oriented, proactive, and trustworthy.
  • Comfortable handling confidential matters.
  • Pleasant personality with good communication skills.

Preferred Qualities

  • Able to anticipate needs and take initiative.
  • Calm under pressure and able to manage last-minute changes.
  • Good coordination skills with vendors, clients, and internal teams.
  • Professional, discreet, and dependable.
