We are seeking a highly organised, proactive, and dependable Personal Assistant to provide comprehensive administrative and operational support. Key Responsibilities
Calendar & Executive Support
Manage a complex schedule of client meetings, reviews, and internal appointments.
Coordinate calls, reminders, follow-ups, and meeting logistics to ensure seamless daily operations.
Arrange business travel, accommodation, and detailed itineraries when required.
Client Relationship & Administrative Support
Serve as a professional point of contact for clients, responding promptly to enquiries and coordinating appointments.
Support the onboarding of new clients, including documentation, scheduling, and administrative follow-ups.
Maintain accurate and up-to-date client records within internal systems while ensuring data integrity and confidentiality.
Documentation & Financial Administration
Assist in the preparation of presentations, reports, proposals, and meeting materials.
Organise and maintain confidential documents, contracts, and financial records.
Support the tracking of business expenses, invoices, and payment records.
Operational Coordination
Anticipate operational needs and proactively resolve administrative matters before they arise.
Liaise with internal teams, insurers, financial institutions, and external partners to facilitate smooth business operations.
Provide ad hoc administrative and operational support to ensure the consultant's workflow remains efficient and well organised.
Requirements
Diploma or higher qualification preferred.
Excellent organisational and time management skills with the ability to manage multiple priorities effectively.
Strong verbal and written communication skills.
High level of professionalism, integrity, and discretion when handling confidential information.
Proficiency in Microsoft Office applications and common workplace productivity tools.
Preferred Qualifications
Candidates with any of the following will have an added advantage:
Experience in the financial services, insurance, or wealth management industry.
Basic understanding of financial products, advisory processes, and client documentation.
Familiarity with CRM systems or client management platforms.
